EXECUTIVE ASSISTANT to the PRINCIPAL

Academy: Brighton Aldridge Community Academy

Salary scale: SCP 23 - £27,264.29

Accountable to: Office Manager

Responsible for: Support for Principal, Communications and Admin Support Team

Working pattern: Term Time and INSET plus 3 weeks

About us

Brighton Aldridge Community Academy (BACA) opened in September 2010, and a year later moved into its brand-new building, equipped with new sports, entrepreneurship and IT facilities, and a dedicated sixth form area.

BACA is in the unique position of having two higher-education establishments, Sussex and Brighton Universities, in its immediate proximity. This enables the academy to work closely with them, share their expertise, access their resources, and give students a taste of Higher Education.

Role Purpose:

To provide the Principal with effective operational, administrative and strategic support in all aspects of school management, internal and external communications and student admissions.

Executive Support

● Coordinate the Principal’s diary

● Manage travel arrangements and expenses of the Principal

● Act as a gatekeeper and first point of contact within the school for staff, governors, parents and others seeking contact with the Principal.

● Prioritise requests received by the Principal and answer queries as appropriate.

● Collate and prepare information and reports for meetings and to take the minutes as required.

● Manage the academy calendar

● Management of the marketing budget

● Organising Trust events including inset/open days

● Receive, log and follow up complaints

● Prepare and undertake administrative tasks connected to student exclusions

  • Take the role of Data Protection Officer for the school

Administration Management

● Attend/run team meetings as required.

● Personnel/administrative advice and support to line managers, promoting best practice.

● Supporting the annual review of the schools policies and procedures, working with the head of compliance

Communications

● Produce the weekly Staff and Student Bulletins

● Support with the academy newsletter (the BACA Buzz), disseminate internally and upload content to TV screens

● Maintain excellent relations and facilitate highly effective communication with the academy’s partners; key individuals, primary schools, businesses and other organisations.

● Oversee the development of prospectuses and publications

● Responsible for all promotional materials for events and transition – leaflets, branded merchandise

● Management of content on the academy website and social media channels

Student Recruitment

● Support with student recruitment activity with feeder primary schools and families

● Develop and implement strategies to increase recruitment from outside our catchment area

● Support with coordination of Open Evenings, Primary Transition activities, events and tours for prospective parents and the wider academy community

● Support recruitment to the school connected to the Junior Cricket Pathway and Aldridge

Cricket Academy, maximising the connectivity between the activity of the cricket programme and BACA.

● Ensure follow-up of all applications, enquiries and visits to maximise recruitment.

● Track, manage, analyse and report on all elements of the admissions process.

Leadership

● Maintain confidentiality inside and outside the Academy.

● Attend and contribute to SLT briefings

● Help develop systems and structures to ensure the smooth running of various operational areas of academy.

● Contribute to the safeguarding and promotion of the welfare and personal care of children and safeguarding procedures

● Undertake any necessary professional development and contribute to the development of others by sharing professional learning, expertise and skills
