Salary: £29,925 - £31,500 (pro rata) plus benefits
The Role – Executive Assistant
AIM Group are looking to recruit an experienced administrator to support the Group Chief Executive Officer and Chief Operating Officers
Key activities for this role include:
Support for the Executive Team
- Organising and scheduling appointments.
- Making travel and accommodation arrangements for the Executive Leadership Team.
- Coordinating and attending meetings internally and externally. This will include preparing and distributing the agenda, papers, and taking notes before distributing meeting minutes.
- To support the workflow management of the Chief Executive Officer and Executive Leadership Team through tracking deadlines, supporting with email as required, managing scheduling.
- Ensuring that Executive Leadership Team documentation is filed in an organised SharePoint site with confidentiality maintained.
- To provide advice to the Executive Leadership Team on matters relating to the Board such as procedural matters.
Support for the Board of trustees
- Provide secretarial and administration support to the Reporting Officer (Group Chief Executive Officer) and the Chair of the Board.
- Provide secretarial and administrative support to the Company Secretary.
- Provide secretarial and administration support to support the governing structures of the AIM Group.
Externally facing events
- To either lead the planning, or participate in the planning of any externally facing event that represents the AIM Group.
- Attend externally facing events as required to support the Executive Leadership Team as ambassadors for the AIM Group.
The minimum requirements for Executive Assistant are:
An experienced administrator who has maintained complex filing systems in a confidential environment.- Track record of providing support to colleagues and external customers in previous roles.
- A good communicator, able to give excellent customer service to internal and external contacts.
The following knowledge and experience would be desirable, but not essential:
Experience of supporting senior managers to fulfil their duties and responsibilities.Experience of supporting a company or charity Board.
