Role: Executive Assistant
Location: Central London
Contract: 3 month rolling contract
**Candidates must be willing to be based in central London 5 days a week**
This is a multi-faceted role, providing executive support to two MDs and their respective teams. We require an Executive Assistant with a strong work ethic and partnership skills, common-sense approach and an ability to remain calm under pressure.
All applicants should have a strong degree of flexibility, solid skill set and proven experience of booking complex travel and completing expense reconciliations.
Role Responsibilities
- Proactive diary management, set up of meetings and zoom conference calls, internally and externally
- Arranging meeting rooms, off sites and team events within the group
- Finalising complex travel arrangements: co-ordination of flights, visas, accommodation, ground transportation and logistics. Executing last-minute changes following corporate policy
- Navigating a large firm, using well developed communication skills
- Expense management: Concur system, reconcile accounts monthly
- Managing team invoice processing working closely with Business Management Team.
- Telephone support for wider group with particular focus on senior coverage during the absence of peers
- Navigating internal administration systems
- General administration duties including filing and archiving
- Partnership with assistants across the group to provide coverage for absence
Role Requirements
- Previous Executive Assistant experience
- Strong team player who enjoys ‘mucking in’ and works well in a coverage group
- Strong problem solving skills and experience
- Confident and assertive
- Strong communication and influencing skills and the ability to deal with people at all levels
- Self-starter who can take ownership
- Knowledge of expense systems/policies an advantage
- Confidence to quickly become an established central contact point
- Ability to identify problems and use judgment to determine when to escalate
- Comfortable implementing projects given clear goals and direction
- Flexible and happy to go beyond immediate role in order to assist others in meeting business needs
- Leads by example particularly regarding best practice and expense control
