Role Overview:
PlayStation is looking for an engaging and highly organised Executive Assistant, to support multiple business leaders. This is a 5-month fixed-term contract to support both the VP of Global Store and the Senior Director of Store Conversion & Optimisation within Direct to Consumer (D2C).
You will provide full administration support and assist with the smooth day-to-day running of the teams. Having successfully supported PlayStation during the recent global initiatives, as well as the successful launch of PS5, this is a great opportunity to get stuck in and make a difference during on-going globalisation of the organisation.
The ideal candidate will work with professionalism and confidentiality, utilising their excellent organisation and communication skills to support multiple diaries.
What you'll be doing:
- To deliver a full EA support to the VP and Senior Director within D2C
- To provide full administration support assisting with leadership diaries and liaise with internal/external personnel regarding setting up of appointments
- Reserve meeting rooms and any necessary equipment/refreshments/lunches that are required for meetings
- Preparing agendas, management/team meeting reports and meeting minutes
- To organise meetings including negotiation and management of external suppliers where required
- Organise extensive and complex travel programmes including flights/hotels/itineraries for the teams
- Processing expense reports
- Send/receive deliveries
- Responsible for purchasing merch for incentives/gifting
- Dealing with facilities & IT issues
- Raising Purchase Order's for external suppliers, goods receipting and making sure suppliers are paid on time, raise purchase orders for department contractors, logging invoices and processing them through Finance.
- Work with Facilities team for any floor moves/new starters
- Be discreet and diligent with access to highly confidential and sensitive information
What we are looking for:
- Previous experience working as an Executive Assistant
- Office coordination experience
- Confidentiality and professionalism
- Excellent organisational skills, detail orientated
- Positive/optimistic attitude
- Sociable, with strong communication, collaborative and interpersonal skills
- Takes direction well, but can also take the initiative when required
- Comfortable working at pace, flexible and adaptable to change
- Assertive, used to dealing with senior staff
