Purpose of the role
- Diary management: manage electronic diary, assessing priority of appointments and reallocation, as necessary.
- Provide administrative, organizational and scheduling structure and support.
- Prepare documents, briefing papers, reports and presentations for senior management.
- Assist with gift and stationary ordering and couriers.
- Coordinate and organize meetings, including notifications to prospective attendees, set-up, pre- and post-meeting correspondence, meeting minutes and records, and any other follow up as required.
- Manage travel schedules, prepare travel itinerary and co-ordinate travel arrangements (including visas/accommodation).
- Prepare travel expenses’ statements and manage expenses process on company system.
- Helping with events organizations for the region
- Complete any other tasks as directed by Senior Management
- Shall adhere to the environment health and safety policy/objectives and guidelines of the organization
Indicative KRA’s/Budgetary and Revenue Responsibilities
1. Timely business correspondence and Email Management
2. Preparation of Travel Itinerary and coordination of Travel arrangements
3. Prepare travel expenses statement and vouchers
4. Arrange meetings/maintain schedule of important appointments
5. Assist in day to day operational and office routine.
Qualification & Experience (Education, Experience, specific knowledge, skills, understanding, attitude)
Education: Minimum: Graduate or its global equivalent degree
Additional: Postgraduate or its global equivalent
Experience:
· Minimum 2 years work experience in an administration role.
· Proficiency with Microsoft office
· Excellent written and verbal communication skills
· Planning & organizing skills
· Time Management
Knowledge & Key Skills:
· Advanced MS Office user (Excel, Word, Publisher, and PowerPoint).
· Basic qualification and/or experience in Health & Safety and Security.
Job Types: Full-time, Permanent
Salary: £26,000.00-£28,000.00 per year
