Do you have experience organising Events or a keen interest in Marketing?
A great opportunity has arisen to join a large prestigious legal firm in Newcastle.
Working closely with the Events Manager, the Events Assistant will provide administrative and logistical support in delivery of the firm's event programme, which includes; webinars, seminars, corporate hospitality, firm events and Fastest 50 events, as well as our attendance at external conferences and exhibitions. They will also support the fee earners in our attendance at professional dinners and networking events. This will be across all three offices, Leeds, Manchester and Newcastle.
Assisting the Events Manager with the following:
- Carry out general event administration and record keeping.
- Prepare and send out emails using a mass-mailing system.
- Coordinate and assemble event invite lists within our CRM database system, record responses, and produce reports.
- Organise and coordinate logistics for a number of events, including suppliers, speakers, client services and other third parties to ensure the smooth running of every event.
- Research potential event locations and suppliers, negotiate terms, and make bookings.
- Publish all events information on our website, on other partners' websites and via social media.
- Prepare event materials such as lay-out, print and collate name badges / format PowerPoint slides.
- Represent the firm at events in each of our three offices for 'meet and greet', and look after the needs of clients.
- Set up exhibition stands at conferences.
- Research networking events and book places, liaise with attendees re logistics and gather feedback.
- Monitor the stock of event equipment and materials and replenish when necessary.
- Research, coordinate and order promotional merchandise.
- Oversee event set up along with the Events Manager and, where needed, the wider Marketing Team
- Other administrative tasks within the wider marketing team as required.
Attributes required:
- Confident communicator, personifying the firm's values of friendly and supportive when representing the firm welcoming clients and other guests
- Able to build effective working relationships with stakeholders at all levels across the business.
- Highly competent in MS Office: Word, PowerPoint and Excel.
- Strong organisational skills – able to manage multiple and changing deadlines.
- Strong all-round administration skills
- Able to work under pressure and tight timescales.
- Ability to work flexible hours on occasion (early mornings and late evenings).
Hybrid working available - office hours 9am-5pm

Salary: £22,000.00-£23,000.00 per year
