Events Admin Assistant – Full Time, Permanent
Surrey - Byfleet
Salary is negotiable for the right candidate.
Monday – Thursday (8am – 5pm), Friday (8am – 4pm)
Monday - 1 hour lunch, Tuesday – Friday 45 min lunch
IAS Academy are recruiting for a Events/Course Assistant to join our expanding and friendly team.
IAS Academy is a Dental Training Community that strives to empower dentists to provide the absolute best treatment to their patients. We have a training pathway which includes both online and face to face courses as well as from simple to advanced.
Duties and Responsibilities:
- Taking course bookings both over the phone and online, then adding to the system/s
- Answering the telephone and dealing with questions and queries, escalating these if necessary
- Responding to emails in a timely and effective manner
- Seeking new business through multiple channels to sell out events
- Managing, picking and packing orders from our online shop.
- Editing, growing and improving the online shop.
- Attending and packing for training courses and events as and when required
(You will be expected to be available to work Saturdays - roughly one a month – paid as Overtime or offered as Time in Lieu).
- Setting up, supporting and packing away at courses – making it as easy as possible for the lecturer to just turn up and teach.
- Stock taking of both items for courses and the online shop - passing on order requirements.
- Booking train tickets and hotel stays for the lecturers and event attendees.
- Assisting with the company's social media pages and profiles, growing our presence
- Taking payments and arranging invoices
- Monitoring and modifying the website.
- Taking courses and delegates through the entire life cycle - from the initial arrangements to post course emails and support.
- General cleaning and replenishment of our onsite training facility
- Other general administrative and event-based tasks.
Requirements and Skills:
- Dedicated and committed to providing first class customer service to a prestigious industry.
- Excellent written and spoken English.
- Excellent time keeping and the ability to work both independently and as part of a team.
- Attention to detail and the ability to audit company processes and procedures.
- Working knowledge of Microsoft Word, Excel and PowerPoint.
- Experience with events or an events-based environment would be beneficial.
- Proven sales track record will be looked upon favourably.
Remuneration and benefits:
In return for your consistent commitment, you can expect:
- Opportunity to attend our training courses all over the UK - all expenses paid - including initial uniform (business wear for courses), mileage, hotel stays and accompanying delegates for meals and entertainment.
- Additional Overtime/Time in Lieu opportunities - paid at time and a half.
- 24 days holiday (3 days will be taken for Christmas)
- Early finish on Friday (4pm)
