Job Summary:
As the No. 1 Entertainment company in the world we have the ability to deliver magical live character appearances, world class hospitality and entertainment for the EMEA region.
This role is critical in delivering cross company events which include characters and some which have brand and franchise theming. The Character events team service over 200 events per year meeting, across EMEA.
The teams Objectives are focused to:
Create moments that matter for sick children & their families to align with the company priority.
Drive a deeper engagement and love of our brands, allowing our guests, business partners and cast members to experience the “Disney Wonder” by delivering the Disney difference at every event
Support company-wide priorities by creating guest touch points which compliment & support our owned experiences (parks, stage shows etc) and do not detract from them (e.g. Disney+ launches, new movie launches - see calendar)
Ensure any third party / licensed event are executed to the TWDC event world class standards e.g. Secret Cinema, Escape Rooms
Leverage expertise and best practice from events teams around the world & diverse thinking
Along with the Costume & Set Supervisor this role executes events from responding to first pitch, to delivery and evaluation of all experiences.
The business desires experiences to support and drive engagement of our key franchises / company priorities for awareness, drive sales, to show case to our B2B partners our commitment to support these franchises and to drive consumer engagement & love of our brands.
The Opportunity & Responsibilities
Support the Director with approvals of all event requests
Represent the Director and the team at cross line of business meetings and events where required
Strategic planning of events mapped against company priorities, allowing the business to be proactive in their response
This role will Project Manage the annual large scale UK Make a Wish event (trial in 2021), a 3 ½ week experience with 200+ MAW families with the support of the whole team.
Delivers impactful and immersive characters / themed events and experiences across all markets in EMEA from start to finish
Approval of pitch / proposal engaging with all key stakeholders
Stakeholder management
Creative ideation
Brief & manage any agencies or third parties involved
Event logistics
Location scout
Venue design
Experience / entertainment management (sourcing, recuiting, negotiating costs)
Manage freelance support and character team at events
Organise team brainstorms for creative ideas / solutions
Source materials from relevant partners e.g. music approvals from DMG, approved scripts from parks Imagineering
Talent recruitment
Rehearsal schedules (if necessary)
Casting (if necessary with DLP casting team)
Time management / time line development
Liaise & brief costume and set Supervisor
H&S & security engagement
Travel planning (with team Intern)
Budget management
Create Production Books for your events
Evaluation of the event against business KPIs
Financial / Corporate Responsibilities
Department casual buyer
Job and account tracking for events, partnering with the finance and accounts team for invoicing, budgeting and reconciliations
Reconciliation of post event expenditure
This role will:
Engage and advise all markets and LOB’s across EMEA and assess proposed events
Work on proactive event proposals which could support the key company priorities
Deliver world class entertainment experiences with the team (as above) & create production books for those led by this role
Ensure all brand guidelines & character integrity guidelines are adhered to for all events
Manage the department’s budget and reporting
Ensure the events system is up to date
Manage the events calendar
Source and Manage VIP Partner experience portfolio
Manage Wellness Wednesday with Internal Comms
Ongoing work to improve or systems and approval processes
The Experience We Require From You
Production or Event Management related degree preferable
Event management experience
Parks entertainment operations, Disney Character or Character Co-ordinator experience preferred but not essential
Good understanding of all event risk assessment elements
Excellent knowledge of the Disney brand, franchises & characters
Strong events logistic skills
Event supplier knowledge / network (preferable)
Budget management and negotiation skills
Team Player who can support at all levels and can manage senior stakeholders
Positive, can do attitude who can stay calm in a stressful environment
Flexible able to work some unsociable hours / weekends
Excellent Organisation skills
Excellent PC skills: Outlook, Teams, Box, Zoom, Word, Excel, PowerPoint, Keynote, Photoshop
