Due to the expanding business and additional opportunities Grandstand Media Ltd are looking for an experienced Event Operations Executive to join the business. This role will form part of the Operations team within the business to carry out operational aspects of various shows and exhibitions, due to a growing portfolio.

Grandstand Media is a team of specialists with experience of planning, organising and running events. Most notably Horse of the Year Show (Birmingham, CSI 3*) which GML has organised since 1997 and now welcomes over 60,000 visitors in October. The British Showjumping National Championships and Stoneleigh Horse Show were added to the company profile in 2015.

ROLE PURPOSE

This role will suit a proactive person who can bring their unique organisational and exhibition skills to the team. The primary focus of this role is to liaise with contractor and suppliers to drive value for money whilst maintaining the highest possible standards to deliver on all events. The ideal candidate will need to be a focused individual with a drive to exceed expectations.

This is a full-time position located at the GML offices at Stoneleigh Park, Warwickshire. Additionally, during an event the applicant will be required, along with the company’s other personnel (at the expense of the company) to be based at host venues as required. This person will report directly to the Operations Manager.

Personal Specification:

Essential

  • Excellent understanding of requirements to deliver great events
  • Knowledge of event operations and associated challenges
  • Knowledge of the events industry would be an advantage
  • Good decision-making skills and organisational skills with a keen eye for detail
  • Ability to problem solve
  • Ability to develop and maintain relationships e.g. contractors, exhibitors, competitors and the public
  • Demonstrate excellent communication and planning skills
  • Financially aware with experience of budget control
  • Well-developed written and oral communication skills
  • Ability to work calmly under pressure and use own initiative
  • Positive attitude
  • Good interpersonal skills, team player with the ability to work with other internal teams
  • IT skills including use of Microsoft Office packages, databases etc.
  • Good time keeping
  • Health & Safety experience

Duties & Responsibilities:

  • General administration and filing for the operations department
  • Research of infrastructure
  • Dealing with contractors, exhibitors and public during build up, breakdown and running of the event
  • Dealing with contractor administration
  • Negotiate effectively and efficiently to meet financial budgets
  • Ensure procedures and processes are followed, to deliver the safe and efficient operation of events including public safety and control[EW2]
  • Site inspections

General Responsibilities:

  • Maintain and improve competencies through continuous professional development. Participate fully in the programme for staff appraisal, review and development, including training
  • Work collaboratively with staff, other partners and like-minded organisations
  • Work to administration, communication, environmental, health and safety protocols and policies to ensure that organisational systems and procedures are implemented
  • Abide by organisational policies, codes of conduct and practice as described in the Staff Handbook
  • Support and promote diversity and equality of opportunity in the workplace
  • Treat with confidentiality any personal, private or sensitive information about individual organisations and or schemes or staff etc.
  • Carry out other associated duties as may arise, develop, or be assigned in line with the broad remit of the post.

  • Competitive salary
  • Hours of work Monday-Friday inclusive, 9:00am – 5:00pm, based at the offices at Stoneleigh Park, Warwickshire
  • Working at events may require a minimum of 8 weekend days per annum
  • The applicant must understand the requirement for extra hours (within the basic salary contract) both prior to and during the Events.
