Introduction
Case Entertainment Group and it’s subsidiaries is a relatively new organisation but currently going through an aggressive expansion. With Case Live having won event producing contracts as well as the growth of our projects internally, we are now seeking an Event Coordinator to deliver Case Live’s programme of work.

The Event Coordinator will support the Lead Producer and Event Producers across a number of projects. The Event Coordinator will be passionate, direct and ambitious and will cope with challenging situations calmy and clearly.

Key Duties and Responsibilities

Creative
· Work with creatives to ensure their vision and that of any external clients is upheld, within budget and on time.

Producing / Coordination
· Work with producers on assigned project which may include:
o Licensing
o Sales / Ticketing
o Talent
o Site & Site Operations
o Production
o Marketing, Advertising and PR
o Sponsorship
o Health & Safety
o Security / Medical
o Event Control
· Provide clear direction in the development and delivery of all stages of the projects clearly interpreting the project needs and creative requirements.
· Maintain strong relationships with stakeholders across projects.
· Maintain strong internal relationships, ensuring that all team members and departments are kept up to date.

External Clients / Relationships
· Develop friendly, positive, and supportive relationships with all clients, and to provide them with excellent service.
· Actively learn from customer feedback, comments, and suggestions, including complaints to review and improve existing processes, and by doing so to anticipate the needs of other customers. To communicate this knowledge to relevant team members.
· Meet and exceed teams’ customer service standards.
· Understand situations from the customer’s perspective so that appropriate and relevant solutions can be identified.
· Ensure that all contractual obligations are met, and clients are kept informed about their projects.

General
· Maintain excellent department archives.
· To ensure the effective flow of all project information within the department and rest of the organisation.
· To always implement and track sustainability within the department and model best practice in terms of environmental responsibility.
· To be an active and supportive member of the Senior Management Team and wider staff team.
· Build and manage excellent relationships with external contractors and suppliers.
· To engage and contribute meaningfully to development of Case Entertainment Group and its subsidiaries Business Plan, Equality, Diversity and Inclusion Action Plan and Sustainability Plan.
· To maintain good relations with industries bodies representing the company’s interest within trade union negotiations or other environments in the sector.
· To uphold and embody the Company’s policies, including but not limited to our Equality, Diversity and Inclusion policy, Dignity and Work policy and Health and Safety policy.

Any other reasonable duties that arise to fulfil the objectives of Case Entertainment Group and its subsidiaries.

Person Specification
Experience
Essential
· 3+ years of event coordination or similar.
· Experience of working within multimillion-pound budgets.
· Proven experience of working with internal staff.
· Delivering high quality work under pressure and to tight deadlines.
· Ability to prioritise.
· Ability to problem solve using a methodical approach.
· Attention to detail.

Desirable
· First Aid qualification.
· High level of competency using Microsoft Office Suite.

Skills
Essential
· Excellent project management skills.
· Highly organised, with strong attention to detail.
· Proven ability to monitor, report and take steps to mitigate project risks.
· Good written and verbal communications.
· Good time management, skills with ability to prioritise.
· Works on own initiative, resourceful and able to troubleshoot.
· Ability to deal with a cross-section of different people from wide ranging backgrounds in diverse circumstances including under pressure in challenging, potentially high charged situations.

Personal Qualities
· A genuine interest in the development of the arts throughout the UK.
· Able to develop collaborative working relationships internally and externally.
· Motivated, flexible and reliable.
