Job title: Event and Hire Coordinator
Responsible to: Enterprises Manager
Hours of work: Full-time 37.5 hours per week (including some weekends and evenings)
Salary: £25,500

The role and person: Commercially minded and with a proactive approach, you will be responsible for the development and delivery of events and hires at The Bowes
Museum, developing our reputation for high-quality experiences, and increasing income generation. Working collaboratively with other teams, you will ensure smooth promotion and operations of events and hires, and cultivate positive relationships with suppliers and customers.

1. Role Purpose:

  • The promotion and commercialisation of museum spaces (internal and external) for private and commercial events, including weddings and other civil ceremonies, business activities etc.
  • Cultivation and development of high-quality relationships with customers and suppliers, supporting new and repeat custom.
  • The planning and delivery of an annual programme of profitable and engaging events and activities to attract audiences as set out in the audience development plan, and help deliver our objectives
  • The development of the group visits market, working with local and national tourism providers and partners.

2. Specific Responsibilities and Duties:

  • Develop & deliver high-quality events and hires offer across The Bowes Museum site.
  • Coordinate the promotion and delivery of group visits in liaison with the visitor services, catering and cultural teams.
  • Assist with setting the Events annual budget, associated KPIs, and implement them in liaison with the Enterprises Manager, Finance Manager, and the directors of The

Bowes Museum.

  • Liaise with the Audience Development team to identify internal and external promotional opportunities, analyse audiences and maximise event visitor numbers.
  • Represent The Bowes Museum at appropriate partnership organisations and trade fairs.
  • Liaise with the Designated Premises Supervisor to monitor current licenses

(Premises, Public Entertainment, Performing Rights) and be aware of the legal requirements for Health & Safety, Trading Standards, Risk Assessments, and any other relevant statutory legislation.

  • Be responsible for and assist with operational requirements related to the delivery of Events and Hires, including staffing, risk assessments, resources etc.

3. General responsibilities and duties:

  • Contribute effectively to the success and culture of The Bowes Museum.
  • Interact and cooperate proactively with all colleagues, trustees and volunteers, ensuring good teamwork, inclusive practices, and interdisciplinary activities across work strands, projects and programmes.
  • Ensure the delivery of the highest standards of customer care and service, which meet the objectives set by the museum for visitor experience.
  • Oversee the performance of assigned staff and volunteers as appropriate and in line with the organisation’s performance management processes.
  • Develop reports where required.
  • Make best use of technology across our activities.
  • Support effective communications and promotion of The Bowes Museum.
  • Work flexibly at times and on occasions that connect with the needs of our audiences and communities.
  • Take ownership of your professional and personal development, working with your line manager to identify and address gaps in skills and competencies.

Operational experience within the events and/or hospitality sector.

Experience in financial budgeting and management.

Good organisational, planning, and problem-solving skills with the ability to think creatively.

Proven commercial acumen.

Experience in managing and training staff.

Ability to deliver projects on time and within available resources.

Personal License Holder
