Location: Palmer’s campus, Grays, Essex

Hours: 37 hours per week. 52 weeks a year

Contract: Permanent

Main Duties:

  • Manage the day-to-day operation of the reprographics department service.
  • To offer and help assist all staff with photocopying, scanning, and printing needs.
  • To ensure that all copiers are serviced regularly and are in good working order.
  • To arrange for the repair of all copiers as agreed by the Line Manager.
  • To carry out the ordering and stock checking of paper, toner, staples, laminating pouches for all campuses.
  • To ensure all deliveries are accounted for at all campuses and invoices are directed to the Finance department.
  • To ensure that all copiers are replenished with paper / staples / toner.
  • To use and help maintain the printing software to ensure reprographics service is always available during the college hours.
  • On a monthly basis send over all charges to the Finance department which include tasks such as, items taken or used from the reprographics stores, franking machine use, and requests for printing.
  • To submit meter readings for the copiers to external contractors as and when required.
  • Assist and help train staff how to use the copier machines.
  • Negotiate cost of supplies to ensure sustained price savings for reprographic resources across the college.
  • To help and assist the college community with layout and design requests for posters, leaflets, and booklets.
  • Help and assist IT and the Line Manger to maintain and or develop the college print strategy.
  • Advise all staff users on copyright law.
  • Be responsible to always maintain a safe working environment.
  • Assist with the shredding of any confidential waste and ensure it is removed securely via the Estates department.
  • Ensure the franking machine has credit and is topped up as required. Also ensure there are enough labels and ink and arrange servicing and report any breakdowns.
  • Any other duties compatible with the post which may reasonably be required from time to time.
  • Manage the day to day mailroom functions.
  • Collect and sort incoming post and place in the relevant pigeonholes.
  • Notify staff of any incoming parcels and assist staff with outgoing parcels.
  • Frank items left in ‘Franking tray’ as required and charge to the relevant department.
  • Deal with any recorded delivery requests.
  • Liaise with Royal Mail for changes in collection times or college closures.
  • To comply with all College Policies and Procedures in particular those relating to Finance, Personnel, Health and Safety, GDPR, and Equality & Diversity.
  • Has an understanding that safeguarding is a shared cross college responsibility. Takes ownership of embedding safeguarding practices into their remit as appropriate to their role within the organisation
