Equity Diversity and Inclusion Co-Design Day - Lead Facilitator
Engage Scotland, a prominent membership organisation in the creative and cultural sector, seeks the expertise of a Lead Facilitator for a Co-Design Day with stakeholders in Scotland.

Project Objective
The objective of this project is to design and manage an Equity, Diversity, and Inclusion (EDI) Co-Design Day for the visual arts sector in Scotland. The aim is to facilitate a collaborative process that will co-design a project to develop and enhance aspects of EDI within the sector. This initiative intends to foster inclusivity, address systemic biases, and create opportunities for marginalised communities to thrive in the visual arts.
This work is managed by Engage Scotland on behalf of Creative Scotland and with advice from the Engage Scotland Development Group. The programme is funded by Creative Scotland.

We have sent out a call for participants for the Co-Design Day. The date for this will be decided with the appointed person and will most likely be in Glasgow.
Project Background
The visual arts sector in Scotland is diverse, vibrant, and continually evolving. However, there are persistent challenges related to equity, diversity, and inclusion. This EDI Co-Design Day seeks to bring together stakeholders, artists, arts organisations, and community members to collectively address these challenges and work towards positive change. There is a budget available for delivering the resulting project(s) and the scope will be discussed with the appointed person.
Overview of Responsibilities
1. Planning and Organisation
- Collaborate with stakeholders, including artists, arts organisations, and community representatives, to define the objectives and outcomes of the EDI Co-Design Day.
- Develop a comprehensive project plan and timeline, including key milestones and deliverables.
- Identify an in person/ online/ hybrid approach that accommodates the anticipated ten to fifteen participants and their access needs. (Please note that if a venue is required Engage Scotland will organise this.)
- Coordinate logistics, such as scheduling, catering, access requirements and necessary equipment, with administration support from the Engage team.
2. Participant Engagement and Outreach
- Develop a comprehensive communication strategy to ensure that there is engagement with diverse representation from wide ranging communities within the visual arts sector beyond the participants on the day.
- This will be supported by the Engage Marketing Officer and Engage Scotland Coordinator. The strategy should include communications about the outcomes of the day.
3. Facilitation and Co-Design Process
- Design a structured co-design process that encourages active participation, collaboration, and dialogue among participants.
- Develop a series of interactive workshops, discussions, and activities to facilitate meaningful engagement and exchange of ideas.
- There is additional budget available for one additional facilitator to either host a session or support across the day (you can provide details of a colleague for this role in this submission or Engage Scotland can work with the appointed person to find a suitable practitioner after their appointment.)
- Incorporate tools and techniques that promote inclusivity and ensure that all voices are heard.
- Facilitate group sessions and breakout activities to encourage ideation, problem-solving, and consensus-building.
4. Documentation and Evaluation
- Work with an additional practitioner to capture key insights, ideas, and outcomes throughout the co-design day. There is additional budget available for a creative documenter for the day. (You can within your proposal add in a colleague to undertake this role or work with Engage Scotland coordinator after you have been appointed)
- Develop a system with the ‘creative documenter’ for documenting the collaborative process, including audiovisual recordings, notes, and feedback.
- Conduct an evaluation process to gather feedback from participants, identifying strengths, weaknesses, and areas for improvement.
5. Project Development:
- Synthesise the insights, ideas, and outcomes from the co-design day into a cohesive project proposal. (This will be done in collaboration with the Engage Scotland Coordinator, the Engage Scotland Development Group and Creative Scotland.) The project should maintain the ethos of co-design throughout.
- Work closely with stakeholders to refine and develop the project proposal, ensuring alignment with the objectives of the visual arts sector in Scotland.
