
Entry Level Administrative Assistant Glasgow, Scotland
Job description
- Receiving and routing incoming calls via switchboard
- Dealing with post (internal and external) and courier bookings for both Domestic and International shipments
- Meeting and greeting of visitors
- Maintaining desk booking system for office, ensuring all staff have an allocated desk when in the office
- Ordering and monitoring stock levels of stationery, PPE and sundry supply
- Providing local office meeting support – catering, meeting room bookings and equipment requirements
- Organising office social events alongside Office Lead
- Act as liaison between internal Support Teams (IT, Facilities, Building Security) to ensure that all office equipment is in full working order.
- Producing, collating and proof reading of project related documentation and correspondence using MS Office and Adobe Acrobat
- Organising and booking of travel arrangements – car hire, train, flights, hotels
- Assistance and guidance on the completion of cash and company credit card expense claims
- Creating relationships with key stakeholders to maximise workload.
- Good knowledge of MS Office Suite programs (MS Word, Excel, PowerPoint and Outlook) and Adobe Acrobat
- Good written and numeracy skills
- Good communication skills both written and verbal
