The Focus of the Role:
To assist with the smooth running of the busy editorial teams at Garden News, Garden Answers and Landscape magazines. Give the teams support to function efficiently by carrying out essential administrative duties, while at the same time acting as a representative for the titles to the general public and trade, and being willing to take on any reasonable tasks as requested by the magazine editors.
Time is split 3/5 Garden News, 1/5 Garden Answers, 1/5 Landscape (though spread across any given week).
Key Responsibilities:
Finance
- Make sure contributors to Garden News, Garden Answers and Landscape are paid for their words and pictures. Keep an accurate budget and alert editors if there are issues around cost control and spending each week/month, including freelance costs, photo agencies etc. Highlight any material variances to the editor as appropriate
- Monitoring freelance workers and ensuring timesheets are completed in time for payroll sign off
- Completing product spends for all titles each month within agreed timescale set by market BA.
- Processing incoming invoices by raising purchase orders, one off payments or self bill payments as appropriate, completing relevant forms as required for new suppliers/freelancers. Processing all tasks on Proactis
- Ensuring expenses for editorial staff are processed correctly
- Liaison with commercial team to ensure commission statements from reader offers are managed efficiently
- Ensuring Landscape syndication availability list is completed accurately each month
Office management/general administration
- Managing the magazine inboxes. Answering reader queries in a friendly, professional and helpful way, responding to enquiries and directing queries to correct departments.
- Acting as point of contact for other departments/magazines.
- Sending out voucher copies of magazines
Online and Social Media
- Updating Garden News website where necessary (for newsletters etc). Some social media output though this in conjunction with marketing teams and editors.
Generating content for magazines
- Processing Garden Answers letters and queries and forward to other team members
- Working with Landscape editorial team to source competition prizes
- Liaising with writers to assist in magazine/online features as appropriate
- Working with editors/writers to ensure commissioned freelancers have signed appropriate contracts
- Liaising with production editors to assist in smooth running of Woodwing Studio
