Key Responsibilities:
· Special Projects: Lead and manage specific projects for the CEO, owning and driving delivery of the plan and managing stakeholders to deliver.
· PA Activities: Provide diary and email management, meeting preparation, minute/action taking and issuing, project support as required, and proactively manage stakeholders to completion of actions while maintaining a prioritized log and updating the CEO on status.
· Sourcing: Source products and negotiate with suppliers to achieve optimal prices, liaising with suppliers to arrange delivery of goods, and arranging shipping/transportation as required.
· Property Management: Liaise with estate agents regarding lettings, manage tenant check-in and check-out, manage maintenance issues to resolution while liaising with contractors as required, maintain a contact database of tenants, manage move-in and move-out including utilities handover and inventory management, and manage keys for rental properties.
· Contractor Management: Manage invoices as required, making payments and checking payments made and monies received, manage appropriate levels of insurance for companies, coordinate administration for contractors while ensuring compliance with legislation, liaise with third parties such as cleaning services, maintenance providers, suppliers etc., manage weekly cleaning rota and liaison with cleaning contractor.
· Office Support: Organize data storage while maintaining accurate and up-to-date filing, maintain office supplies, maintain an inventory of products, ensure health & safety compliance.
· Travel Booking: Book regular flights for the CEO as well as other travel as required for the CEO or contractors.
· Other Duties: Set up new joiners, provide day-to-day operational support to ensure smooth operation, support site standards management, continuously improve processes.
