OUR ENVIRONMENT BUSINESS
Our Environment Business provides ‘source to sea’ asset delivery capability across the UK and Scotland working on both Frameworks and Standalone projects. Since AMP3 we have delivered in excess of £2bn assets for clients such as Yorkshire Water, United Utilities, Anglian Water, Thames Water, Southern Water, Welsh Water and Scottish Water. YOUR ROLE
As a Document Controller you will provide a support service to our project teams by ensuring that project design information / documentation / forms / snagging and defects is captured and stored in a methodical manner within the Client’s or our own (Viewpoint) Common Data Environment (CDE)) and Field View for ease of retrieval by site teams.
The role of Office Manager is to provide key administration support to the Senior Management Team to ensure the success of the projects and day to day office management.
You will;
As Document controller you will:
- Support the design team ensuring all design information is controlled and maintained in a methodical manner and issued within set time scales.
- Ensure company and project information management protocols and procedures are followed (including but not limited to the Master Information Development Plan and BIM Execution Plan).
- Be communication liaison for the design and site teams including key documentation and handover information.
- Build effective working relationships with all members of the site team, up to and including Director level.
- Become the Viewpoint Champion for the Stafford Office.
- Support the relevant Teams with the workflow process, Request for Information, Change Control and linking information to virtual containers within our CDE.
- Manage the CDE i.e. creating internal and external document containers within the CDE template or inviting and revoking internal and external users.
- Generate and issue reports to internal/external parties when required.
- Support / Manage Field View for the project teams with uploading and calibrating drawings, inviting members, package creation, creating form distribution and on-going best practice management of the data with regular audits / reporting.
As Office Manager you will:
- Administering basic training of Oracle time sheeting, procurement, and expenses
- Administering general inductions and on boarding – subject matter specific inductions to be conducted by Line Managers
- Placing orders for PPE, IT equipment for new starters using Oracle and IT portal
- Administrative support for projects within the Galliford Try project teams.
- Stationary ordering
- Ensuring fire extinguishers are regularly maintained.
- Office notice boards and signage kept relevant and up to date.
- Minute taking where required
- Report formulating and compiling
- Assist in creation and distribution of communication documents
- Booking meeting rooms and catering
- Update key documents including contact lists and site address lists
- Organising the issue of Stafford Office keys and fobs for new starters
- Maintaining training records
YOU
- Fully conversant with the Microsoft suite of packages i.e. Outlook, Word, Excel, PowerPoint, and other desktop publishing software packages.
- Knowledge and experience of using Viewpoint for Projects is preferred.
- Knowledge and experience of using Viewpoint Field View is preferred.
- Relevant degree and/or experience of working in information management or related field.
- Knowledge and/or experience of the Document Control Process at operational level.
- Willingness to undertake relevant professional qualifications.
