Job description
Job Purpose: To efficiently process, store and distribute documentation as required whilst maintaining high standards of accuracy and traceability.
Key Accountabilities:
- Ensure that all documentation pertaining to particular projects is handled, stored and distributed per the individual requirements of the project.
- Issuing and receiving of controlled documentation and creation of electronic transmittals to the Project Teams, Clients, Suppliers and Fabricators.
- Assisting the Project Team with the tracking of all engineering and supplier deliverables through to close out and data book compilation stage.
- Managing documentation while ensuring data validation and storage in conjunction with project and company naming, numbering and revision control procedures.
- Manage all relevant documentation ensuring that it can be readily and efficiently recorded, distributed, tracked and retrieved at all times.
- Maintaining document schedules and producing regular reports to assist Project Teams throughout the lifecycle of a project.
- Storage of documentation in conjunction with project, company and client retention guidelines.
- Carrying out quality checks and audits of Document Management system, identifying and correcting any anomalies.
- Training, direction and support to project and third party users on use of Document Management protocols.
- The awareness of all necessary processes and procedures to ensure that Document Management is carried out at optimum effectiveness.
- Assist with the development and implementation of all necessary processes and procedures to ensure that Document Management is carried out at optimum effectiveness.
- General document control activities such as photocopying, scanning, quality checking of metadata and documents.
- Undertaking any other duties that may be required from time to time.

- Minimum three years document control experience in engineering or similar environment.
- Highly competent in the use of MS Office or Google Applications
- Excellent communicator
