Job description
We are looking for a highly organised and competent Document Controller who enjoys working in a team to join our Compliance department here at Bidwells. You will set up, manage and maintain different document control systems, working with a variety of teams and individuals across the firm from our head office in Trumpington, Cambridge.
What you’ll be doing:
- Ensure that controlled copies of latest approved documents and drawings are available within the corporate content management system and shared with sub-contractors and suppliers as applicable
- Issue and receive controlled documentation, log and resolve issues and receivers, and create general electronic transmittals to the project, clients and suppliers
- Assist project teams with the issue, receipt and tracking of all engineering and supplier deliverables through to close out and handover stage
- Endorse the corporate content management system ensuring business system continuity is met, working with other relevant departments and stakeholders
- Coordinate all activities related to the document control procedure, to include version control, authority and accountability, periodic review including technical documents, drawings, and commercial correspondence
- Identify contractual requirements in relation to Document control
- Ensure that procedures are fully implemented in order to meet requirements of the Business Management System and other documentation and information systems, e.g. NetSuite, ISO 9001 stipulations
- Manage business archiving such that all documentation is stored efficiently and can be accessed and referenced at all times
- Work to continuously improve and enhance procedures and systems utilised for document control.
- Provide feedback to enable people to fully understand documentation issues
- Understand and carry out the role specific requirements of the Business Management System and help to identify opportunities for improvement
- Assist with the coordination of document management across the whole project including policies, protocols and practice
About you:
- Previous Document Control experience
- Experience in working for a business in a client or customer facing sector.
- Experience of spreadsheets, database and job specific software such as NetSuite and iManage, property and CAFM systems
- Ability to keep clear and accurate records and reports
- Experience setting up and using electronic document management systems
