Waddesdon is an historic house and garden open to the public. Created by Baron Ferdinand de Rothschild from 1874; it is home to the Rothschild Collection.
Waddesdon’s collections are exceptionally rich in fine and decorative arts of the 18th century assembled by three generations of the Rothschild family. Since 1957 the Manor has been owned by the National Trust and today it is managed by a charitable trust, the Rothschild Foundation, under the chairmanship of Lord Rothschild.
We welcome around 350,000 visitors to the property and over 2 million browsers to our websites each year. Waddesdon offers visitors a programme of changing exhibitions, talks and tours, family activities and public events. The income from our private events business, shop, restaurants and sixteen-bedroom hotel help support opening the Manor to the public, our education programme and the care of the buildings, collections and gardens.
Overall purpose
The Marketing Department is headed by the Director of Marketing & Communications and includes Marketing Managers for Waddesdon and the Rothschild Foundation, Marketing and Press Officers, a Travel Trade Executive and is expected to expand in the coming months.
The EA will provide efficient and flexible business support to the Director of Marketing & Communications (DOP) and will work proactively to coordinate and deliver the administrative requirements of the Marketing Department, including website administration and editing and CRM management support.
The EA is a proactive and adaptable individual, a quick thinker who uses their skills practically and pragmatically to support the demands of the department and organisation effectively.
Key Responsibilities
Website Administration
- To implement requests for edits/amendments to the Waddesdon websites, maintaining design and content integrity.
- Support maintenance of the website ensuring that everything from the home page to site layout work effectively and efficiently.
- Liaise with external agencies as required for web site changes or improvements.
- Testing web site changes or updates and confirm are working correctly.
- Work with the Commercial leads to ensure that product data for the online shop is edited, uploaded, up to date, and are stored correctly.
- Perform user testing or usage analyses to determine web sites' effectiveness or usability.
- Review or update web page content or links in a timely manner, using appropriate tools.
Communication
- Administration and support for email traffic sent to Marketing Department mailbox
- Coordinating responses and actions from emails. Escalating to DOM where necessary.
- To ensure that you are clear on organisational policies and procedures, for example on branding, so that this can be communicated to staff as required
- Handle enquiries for tickets as competition and raffle prizes, liaising with the Rothschild Foundation grants team as necessary
- Respond to Google and TripAdvisor reviews and be an active member of the team planning, monitoring, posting and responding to social media enquiries
- Work with the Executive Board to research, write and distribute the Staff and Volunteers’ Newsletter 6 weekly and ensure regular Vlogs are recorded for the intranet
EA Duties for Director of Marketing & Communications
- Diary management and administrative support for Director of Marketing & Communications (DOM)
- Travel planning as required
- Credit card and expense processing on a monthly basis
- Contribute to the overall marketing of Waddesdon through attendance at departmental meetings, with minute taking as required
Office Management
- To provide administrative back-up to the marketing department to include answering of telephones, ordering stationery, collation of print and literature. To help cover any department absences through holiday and illness.
CRM Support
- To maintain and develop the central database, allowing easy access to produce digital and targeted mailings
- Support producing mailings e.g. leaflet drops, providing data to external mailing houses and dealing with the responses from those mailings.
- You will work closely with departments to ensure we have a accessible fit for purpose CRM database that drives value for our business.
Skills & Experience
- 2+years’ administration experience required
- Proficiency in MS Office required and PPT
- Professional and warm communication style, able to manage expectations and deal with enquiries with clarity, humour and patience.
- Strong attention to detail and accuracy.
- Good problem diagnosis and creative problem-solving skills
- Ability to effectively plan, organise and prioritise workload.
- Experience working at EA/PA level an advantage
- Experience of working within a Marketing Department an advantage
- Experience of Website and/or CRM experience an advantage
- Good knowledge of SEO an advantage
- Solid understanding of web applications
Waddesdon is a busy organisation and with multiple projects on the go, you will need to be extremely well organised, able to think on your feet and to prioritise your own work as well as work within a team. Flexibility and an ability to build relationships at all levels across different disciplines will be essential.
Terms & Conditions
Contract Type: Permanent, full time, 37.5 hours per week, Monday to Friday and including occasional weekend/evenings and some out-of-hours social media and essential web updating activity. Three days on site at a minimum expected
Salary: Starting salary £27,000+ depending on experience
