Our client is the UK’s leading Data Protection Officer resource centre. They have delivered services to over 450 organisations since 2017. As a team of 35, their core business is to provide ‘fractional’ (so less than part-time) outsourced Data Protection Officer (DPO) resources. They also provide GDPR and NIS Representation services to organisations globally.
To support their continued growth, they require an Events & Digital Marketing Coordinator with experience of researching, planning and delivering national and international business events (both face-to-face and virtually). The successful candidate will be responsible for researching, negotiating, planning, and organising the logistics for our various existing and planned conferences, breakfast meetings, dinner events and peer-to-peer learning, to ensure successful delivery. The role will involve curating a database of attendees from specific target groups and then assisting with marketing and promotion to ensure event success.
Duties (include but are not limited to)
· Plan and organise the varied logistical requirements for each event
· Liaise with event organisers and coordinate the timely delivery of requirements i.e. company profile, speaker bios, slide presentations, photos etc
· Confirm set-up requirements for each event and make the necessary arrangements to have all equipment ready and delivered at the relevant event
· Curate a database of prospective attendees within our CRM system (HubSpot) to help promote event attendance using LinkedIn, ZoomInfo and other platforms
· Manage venues, caterers, couriers and promotional item suppliers etc
· Contribute creative ideas to drive attendance and delegate engagement
· Coordinate content creation to support our existing PR and communications workflows
· Devise a marketing communication schedule for the promotion of each event
· Coordinate with our internal/external design and marketing resources to promote each event via email, our website, the event’s website and social media
· Assist with the logistical arrangements for internal staff speaking at conferences and external speakers invited to present at our events
· Organise event sales team diaries and travel arrangements for attendance at each event
· Manage RSVPs, VIPs and event partners
· Ensure the smooth running of each event (online and face-to-face)
· Coordinate and collate attendee feedback surveys and implement lessons learned
· Ensure stock levels of all marketing collateral like factsheets and case studies, as well as promotional items are monitored and ordered as required
· Report on performance of events and associated marketing activities
· Maintain our website events page using WordPress content management
· Contribute to the improvement of The DPO Centre’s internal processes and checklists to streamline future event management and marketing workflow
General
· General digital marketing support as required
· Providing cover for other office staff roles during absence and holidays
Person Specification
Education and Experience
· A minimum 3+ years of event management and marketing experience, ideally from a professional service-related environment
· Ideally, an understanding of data protection and compliance regulation
· A marketing qualification, however, experience and practical knowledge is more valued than educational qualifications
· Experience working with o HubSpot o ZoomInfo o Social Media marketing, both organic and paid (LinkedIn, Twitter) o WordPress content management (supported by our web developer)
· Ability to target our Ideal Customer Profiles (ICPs) and manage digital assets targeted at sectors and niche verticals
· Knowledge and experience of setting up, marketing, hosting and delivering events face-to-face and via online platforms like Vimeo, and ON24.com
