Job overview

Due to the current post holder moving to a different role within the department, we are looking to recruit a new member to our team. The Digital Health Records team undertake a wide range of duties including providing an admission service for some of our inpatient areas and a patient location enquiry service handling calls from the general public and other organisations. The team manage the provision of both paper and digitised patient records at NUH, responsible for the daily collection, preparation, scanning and quality assurance of patient health records.

This is an interesting opportunity for enthusiastic and conscientious individuals who have proven office administration and IT skills. The role requires excellent communication skills and attention to detail is paramount. Post holders must be strong team players who can work efficiently with colleagues within the DHR team, whilst liaising with staff from all departments across the wider hospital.

Main duties of the job

Admissions – updating the Trusts IT systems with admission information.

Public Enquiries – handling telephone calls regarding the location of patients.

Release of information – provision of paper or digital case notes to NUH and other organisations.

Collection Service – collecting patient health records from wards and outpatient services and packaging the ‘Thin Files’ for either internal or onward offsite scanning.

Scanning patient records – onsite tracking and scanning of patient records deemed suitable for onsite scanning

Quality Assurance – checking a percentage of scanned records to meet the required BS10008 quality standards for availability, authenticity & integrity.

Essential criteria

  • GSCE A-C Grades or Equivalent
  • Computer literate and competent in the use of MS Office products: Word, Outlook and Excel

Experience

  • Flexibility in respect of working arrangements as must be prepared to work at both campuses as and when required
  • There will be a responsibility to work at least two Bank Holidays per year. (Note that Bank Holidays include Christmas Day, Boxing Day and New Year’s Day).
  • To cover additional shifts out of hours if already working evening/night/weekend shifts as part of the out of hour’s team or volunteer from day shift if appropriate.

Salary: The quoted salary will be on a pro rata basis for part time workers.

The system will run a check against the key security features within your documentation. The system will provide us with an outcome of your check which will be stored securely on your personal file along with all other pre-employment check documentation.

  • Transfer of information: If I have previous NHS service - I consent to the transfer of my Electronic Staff Record (ESR) data between this and other NHS Trusts. I also consent to the Occupational Health Department confidentially accessing my occupational health records from my current or previous employer in order to check the status of my vaccinations, immunisations s and screening tests as relevant to the post. I understand this is an automated process and the information will only be used for these purposes prior to me taking up the position at NUH.
  • Disclosure and Barring Service: Your post maybe subject to a DBS check which incur a cost dependent on the level of check required (£41.90 for enhanced and £21.90 for standard).
