Job Description – Deputy Supervisor

London Road Preschool is a term time pack away setting setting running Tuesday to Friday.

Purpose of Post

➢ The Pre-School Deputy Supervisor will be a level 3 and expected to provide high quality, flexible childcare for families from the local communities.

➢ The Pre-School Deputy Supervisor will support the Supervisor in overseeing the operation of the day to day running’s of Pre-School to the highest standards, ensuring that the best possible environment and care are provided for young children.

➢ The Pre-School Deputy Supervisor will be able to run the pre-School as above in the Supervisors absence.

➢ To provide high standards of childcare and education – to include the monitoring and reviews of
Setting, this includes providing a safe, caring environment to enable the emotional, social and educational development of children, through individual attention and group activities;

➢ When making decisions the safety, well being and security of the children in your care have priority at all times. To care for the physical, intellectual, emotional and social well being and development of the children. To assess the designated children in your care under the “key person” system in order to plan a variety of stimulating activities to develop the children to their full potential.

➢ To direct and support staff.

➢ To work as part of a team of Pre-School staff to create a happy, creative, stimulating and safe learning environment where children can develop to the full their physical, intellectual, emotional and social potential.

Main Duties/Responsibilities

The Deputy Supervisor will go about their duties with honesty and integrity and ensure the pre-school needs are always met.

➢ To support the Supervisor the day to day management, staffing, organisation and smooth running of the Pre-School.

➢ To promote and develop the settings ethos and to create a welcoming and family friendly environment.

➢ To be a member of the management team and to contribute to the strategic planning, monitoring, evaluation and development of the Pre-School.

➢ To be responsible at all times for high standards of care and education of children between 0 to five years in accordance with statutory requirements.

➢ To ensure the EYFS is promoted and delivered within the setting and the principles adhered to.
➢ To ensure effective communication between the Pre-School staff and with all partner organisations.

➢ To order and maintain equipment and resources in the Pre-School.
➢ In the absence of the Supervisor to be accountable and responsible for day to day financial systems i.e. receiving payments; directly relating to the Pre-School provision.
➢ In the absence of the supervisor be responsible for admissions in line with the admissions policy.
➢ In the absence of the Supervisor to keep a register and up to date records of all children using

London Road provision and to give regular feedback to parents about their child’s development and progress through learning stories.

➢ To be responsible for supporting the Supervisor in organising training and monitoring staff and students at London Road.

Supervision / Management of People

The post holder will be responsible for management, supervision and appraisal of the following staff in the absence of the supervisor

➢ Early Years Practitioners

➢ Unqualified / Level 1/2 Workers

➢ Students on placement

From time to time there may be a requirement to manage the work of bank staff who are appointed for supply work or to provide supervision for students on placement in the absence of the supervisor.

Creativity and Innovation

➢ The Pre-School Deputy Supervisor will have a key role in planning and monitoring of the pre-school and implementing essential policies and procedures. This will require creative thought together with an informed understanding of statutory requirements and best practice for childcare.

➢ The Pre-School Deputy Supervisor must work to Pre-School’s policies about Keeping Children Safe,
Equal Opportunities, Data Protection and Confidentiality.

➢ The Pre-School Deputy Supervisor will need to understand and implement policies and procedures
(for example for Health and Safety) in relation to staff, buildings and resources.

➢ Staff from a wide range of other agencies and settings including the Social Services and a range of voluntary /private sector organisations and maybe other Day Care providers.

➢ The Pre-School Deputy Supervisor will be expected to build good working relationships at every level. Working in partnership with parents and families is highly valued and the Pre-School
Deputy Supervisor must be approachable, friendly and able to communicate effectively at all times.

Operational

➢ Promote the Pre-School to current parents and potential customers

➢ Undertake a shared responsibility for health, safety and cleanliness throughout the Pre-School.

➢ Adhere to all health and safety policies and procedures

➢ Be fully aware of all emergency and security procedures e.g fire precautions, security, dropping off and collection of children.

➢ Promote the aims and objectives of the setting

➢ Maintain accurate and effective children’s records

➢ Ensure that children are kept safe and that staff understands and when necessary follow

Safeguarding procedures

➢ In the absence of the Supervisor manage staff effectively ensuring ratios are maintained throughout the setting

➢ Ensure the setting maintains a high quality environment in order to meet the needs of individual children from differing cultures and religious backgrounds, and stages of development;

➢ In the absence of the supervisor take responsibility for the Health and Safety standards appropriate for the needs of young children and ensure staff compliance and awareness;

➢ Ensure the correct following of the medicine policy at all times

➢ Maintain staff awareness of fire drill in accordance with the code of practice

➢ Support the supervisor in leading regular staff / planning meetings and training sessions outside working hours;

➢ Actively promote and support the safeguarding of children and young people in the workplace, ensuring that all staff and volunteers observes setting policies and procedures to keep children safe

➢ Participate in undertaking of staff induction, supervision and appraisal processes

Communication

➢ Work as a part of a team to develop and promote partnership with the parents and involvement of staff.

➢ Participate in all self-development activities including appraisals, supervisions etc.

➢ Support the supervisor in working with our SENCOS, EYFS Advisors, health professionals and local programmes as appropriate.

➢ Develop and maintain highly professional working relationships with advisory teachers, schools,

SENCOS and other agencies that may visit the setting.

➢ Promote the high standards of the setting at all times to parents/carers, staff and visitors;

➢ Understand all policies and procedures of the Pre-School to answer relevant questions from parents/carers/outside agencies

➢ Ensure confidentiality of information received

➢ Display a high quality of written and verbal communication skills with colleagues, parent/ carers and children

General

➢ Adhere to all London Road’s policies and procedures including attendance at meetings and any other duties as required

➢ Ensure London Road’s policies on diversity and equal opportunities are adhered to

➢ A daily commitment to the provision of high quality childcare with an interest in the care, learning and development of young children

➢ Support the supervisor in ensuring staff observe, support and extend children’s learning

➢ Ensure that you are an enthusiastic role model for young children, staff, parents and any other professionals entering the Pre-School.

➢ Be able to come up with innovative ideas whilst creating a stimulating environment for children, staff and parents.

➢ Support the Supervisor in leading a team of professional workers and to ensure excellent practice at all times

➢ Support the Supervisor in ensuring to develop and implement systems to monitor and record child development within Pre-School.

➢ Take a lead role in helping to provide an environment where children value and respect different cultures, religion, language and disability and ensure that resources and activities reflect this within the setting needs of children are met and that parental choice is considered in terms of care given;

➢ To undertake such other duties and responsibilities of an equivalent nature that may arise while at Pre-School, in or out of hours.

➢ A positive approach to inclusive practice, with children, colleagues, parents and carers.

➢ To ensure high standards of hygiene and cleanliness are maintained at all times including but not limited to general cleanliness of the children nappy changing area and food surface areas etc.

AREAS OF RESPONSIBILITY

1 Operational Responsibilities

  • Support the Supervisor with the staff team to deliver a programme of exciting play opportunities and activities suitable to the age range and developmental needs of the children, which will motivate their learning and integration within the Pre-School.
  • To ensure that a caring and stimulating environment is provided for children that takes into account individual developmental needs and enables children to reach their full potential
  • Keep well-informed of legislation, guidelines and policies to ensure the Children’s Act and the Early

Years Foundation Stage Welfare Requirements are met at all times.

  • To be flexible within working practices of Pre-School. e.g. preparation of snack, meals, cleansing of equipment, etc.
  • To ensure compliance with legislative requirements at all times.
  • To ensure that the Pre-School conforms to and exceeds the requirements of Ofsted.
  • To ensure that the Pre-School consistently meets the requirements set out in the Early Years

Foundation Stage to a minimum good standard.

  • To uphold and ensure a high standard of care in the Pre-School.
  • To support the supervisor to implement and maintain the Pre-School’s equality policy ensuring that children, parents and the staff team are valued and practice is positive and non-discriminatory.
  • To support the Supervisor in Preparing the Pre-School for Ofsted inspections and action any recommendations made by the inspector.

2 Individual Accountability

  • To keep an accurate ‘Learning Journey’ file on your key children, for parents to look at and comment in, sharing with them.
  • Work with parents of special needs children to give full integration in the Pre-School.
  • Liaise with and support parents and other family members.
  • To be involved in out of working hour’s activities, e.g. training, staff meetings, Committee meetings

Christmas party, etc.

  • Record accidents on accident forms and follow Safeguarding procedures in recording all accidents and incidents.
  • To respect the confidentiality of information received.
  • To develop your role within the team.
  • Ensure preparation and completion of activities to suit the child’s stage of development.
  • To ensure that snack/lunch times are a time of pleasant socialisation and role modeling of good table manners and sharing.
  • To wash and change the children as required.
  • Provide comfort and warmth to an unwell child.
  • To ensure the provision is of a high quality environment to meet the needs of individual children from differing cultures and religious backgrounds, and stages of development.
  • To be aware of the high profile of the Pre-School and to uphold its standards at all times.
  • To communicate effectively with all members of staff and be professional at all times.
  • Work within the margins of confidentially respecting information pertaining to children, parents and staff.
  • Manage own time to complete tasks effectively, prioritising workload and delegating tasks where necessary.
  • To keep up to date on all current childcare issues.
  • To ensure the safety and wellbeing of the children, ensuring that their needs are met.
  • To make recommendations for the future development and long term vision of the Pre-School.

3 Personnel

  • To ensure children to staff ratios are maintained in the absence of the Supervisor.
  • Maintain accurate and up to date personnel records for key children within the Pre-School.
  • Work with supervisor to Identify and deal with poor performance with agreed action plans with individual, clear targets and goals, realistic timescales and opportunities for constructive feedback and monitoring, ensuring that all documentation is accurate and signed.
  • Provide constructive, honest, feedback to support and encourage all staff.
  • To establish good professional relationships with colleagues working in other Pre-Schools.

4 Administration

  • To assist the Supervisor in preparing reports and collect relevant information as supporting evidence for these reports.
  • To ensure that all supplies are used with due economy.
  • To maintain children’s records to a high standard with due regard to confidentiality. Ensuring all other staffs children’s records are to the same high standard.
  • To observe children through play to identify their individual needs and aims by carrying out observations and evaluations of children’s activities.
  • To maintain personal contact with parents through meetings, parent days, open days and informal conversations.
  • To ensure that all parents are fully informed about the Pre-School and that new parents are welcomed appropriately giving due regard to their concerns and questions.
  • To work with feeder schools to ensure the smooth transition of children to school.
  • In the Supervisors absence to be responsible for all administrative duties associated with the management of the facility, eg maintaining records on the children and their families, ordering equipment, maintaining an inventory, keeping personnel records;

5 Marketing

  • Deliver high quality customer service at all times.
  • To have regard for the parents/prospective parent’s needs and information is communicated clearly and positively.
  • Support the team where necessary to effectively market the Pre-School in the local community utilising local events to promote the Pre-School’s image.

6 Training and Development

  • Be professional, polite and positive in all verbal and non-verbal interactions with staff, parents and children at all times.
  • Complete an evaluation before and after training, following agreed actions to improve practice.

7 Health & Safety

  • To ensure that the physical environment of the Pre-School is maintained to comply with the requirements of the Health & Safety at Work Act.
  • To ensure that a daily Health & Safety checks are carried out.
  • Be aware of and comply with EHO and COSHH regulations.
  • To have clear knowledge of procedures to be followed in case of emergency e.g. Fire, and accident, completing and submitting relevant paperwork.
  • To report any repairs or replacement of equipment to the supervisor.
  • To carry out appropriate indoor and outdoor equipment checks, checking the garden before each use.
  • To support the Supervisor to ensure the Pre-School is kept clean and hygienic at all times and to carry out cleaning duties throughout the day.
  • To carry out regular cleaning of equipment and that it is recorded accurately.
  • To ensure that equipment and resources used are of suitable design and condition, well maintained and conform to safety standards and that it is used for the purpose in which it was designed.

Occasional Duties

➢ To assist with outings, Christmas parties etc.

➢ To assist with fund raising and social activities such as Open Days, etc.

➢ To participate in INSET Training days and other training as necessary.

Flexibility

Extra time may be necessary from time to time to cover for sick colleagues etc. It is expected that in an emergency and unusual situations all staff will undertake whatever duties are necessary to ensure the effective operation of the Pre-School.
