Tyne & Wear Oils Full-Time Depot Administrator

The Depot Administrator will report directly to the Divisional Director and has a range of duties relating to the day-to-day operations of the depot, including the office, warehouse and compound.

A more detailed breakdown of responsibilities by heading is detailed below:
Stock Management and Warehouse Assistance
1. Responsible for monitoring stock movements, stock maintenance recommendations and re-order requirements.
2. Raise purchase orders with Suppliers in response to requirements using Fuelsoft, whilst maintaining Stock Ordering Protocol.
3. Track stock delivery dates and liaise with Suppliers where necessary.
4. Responsibility for incoming goods receipted into stock, whilst maintaining Stock Delivery Protocol.
5. Assistance to Head Office Purchase Ledger with Supplier queries and invoices.
6. Purchase Ledger Supplier invoice checks and approvals.
7. Update Fuelsoft products and pricing when applicable.
8. Licenced use of FLT to unload incoming goods as and when required.
9. Working with Warehouse Operative to check incoming goods for damages or discrepancies and ensuring correct storage in designated zones.
10. Support TW Oils Driver in picking of correct products for dispatch.
11. Over-seeing monthly depot stock takes in collaboration with the Warehouse Operative and reporting to the Divisional Director.
12. General assistance and support with Site Health & Safety issues, including responsibility for Fire Safety Maintenance, with testing, servicing, and reporting.
13. Overseeing all Daily, Weekly and Monthly Check Sheets for discussion with Divisional Director.
Office Administration and Technical Support
1. Use of Fuelsoft to process orders, whilst maintaining the correct Order Processing Protocol.
2. Assistance with incoming internal and external customer enquiries via telephone, email or face-to-face.
3. Assist in facilitating walk-in customer order processing and dispatch.
4. Receipt of customer cash payments via debit / credit card.
5. Accurate filing of paperwork, in-line with current systems
6. Technical site visits to existing Metal Working Fluid customers to assist with product testing as required by the HSE.
Other
1. Any other duties as reasonably requested by the Divisional Director.

Schedule: 0800 – 1700 (Monday-Friday) with 1 hour Lunch Break
