Background
Animals Asia is a progressive, dynamic and global organization making great advances in animal welfare predominantly in China and Vietnam, but with reach across Asia. In 2017, the Vietnamese Government announced its partnership with Animals Asia to bring this to an end. We are focusing on raising funds to build a new sanctuary in Vietnam so we can bring the last of the country’s bile bears home. There has never been a more exciting time to join the team and be part of this historic, rewarding journey. We are also at the forefront of ending elephant riding in Vietnam – a model which we hope can be rolled out across the rest of Asia.

In 2022, Animals Asia raised over $17m globally but this is still only the tip of the iceberg – we could do so much more and investing in the right people to join our team is critical.
Job Purpose
To manage the database function of the Data team, providing hands-on support that facilitates the delivery of dynamic fundraising activities across all departments. You will need to have a good balance between having advanced technical skills and being comfortable liaising with a range of colleagues. Through effective database and data management, you will help us to solve business problems and grow a healthy data culture. There is a real opportunity here to shape how we work, and we would benefit from someone who can proactively identify, recommend and implement improvements more widely. This is an exciting role that would suit a highly motivated individual looking to make an impact, helping Animals Asia to succeed in data-led fundraising and achieve ambitious targets.
Key Responsibilities
Database management (Blackbaud CRM)
- Managing system administration and configuration e.g., export definitions, templates, smart fields, queues, global changes.
- Managing system access and security e.g., users, roles and permissions.
- Setting up and overseeing processes that teams run autonomously e.g., receipts, acknowledgements, imports, data cleaning.
- Managing new vendor set-up as appropriate e.g., telemarketing agencies, overseeing the full data cycle from data supply to return.
- Leading on the ways in which the database is used and engaged with, ensuring consistency, accessibility and optimized functionality.
- Leading on database support tickets, ensuring teams can complete their work without barriers e.g., technical troubleshooting, change requests.
- Managing imports and exports as appropriate (mostly ad-hoc) e.g., NCOA.
- Preparing technical specs for projects and customizations, recommending whether to resource internally or outsource to a third party.
- Using design mode to complete advanced configuration e.g., creating or editing datalists, functional areas, tasks and pages.
- Managing system maintenance, ensuring our database remains fully operational e.g., scheduling service pack upgrades, ensuring rigorous UAT.
- Reviewing and developing database reporting e.g., building dashboards.
- Leading on the documentation of rules, instructions, and stored procedures.
User training
- Managing database user training from new starter inductions to upskilling sessions, helping teams to work with confidence and autonomy.
- Creating training materials as appropriate e.g., documentation, videos.
Data management
- Supporting on data management and data governance, working towards continual improvement of our data value and solving business problems e.g., targeted cleaning to facilitate new fundraising activities.
- Ensuring adherence to data protection e.g., local compliance regulations are understood and met, and applying sector best-practice guidelines.
- Evaluating and implementing methods to improve data literacy across the department, liaising with external agencies as needed.
- Supporting the documentation of rules, instructions, and stored procedures.
Relationship management
- Working in close consultation with all members of the Data team to ensure a joined-up approach and avoid siloed working.
- Building effective cross-team relationships, promoting positive engagement with data and technical tools, helping to grow a healthy data culture.
- Managing and developing key external relationships on behalf of the Data team as appropriate.
Strategic planning
- Actively contributing to the Data team’s overarching strategic vision.
Other
- Other tasks commensurate with the role as appropriate.
Person Specification
Specific skills, experience, and attitudes we are looking for in an applicant:
- Advanced skills using CRM systems.
- Experience using Blackbaud CRM or other BB products (desired).
- Experience working with CRM integrations/APIs (desired).
- Strong understanding of Data Protection law and GDPR.
- Problem-solver with strong troubleshooting skills.
- Prioritization skills, able to plan and manage workloads.
- Good communication and interpersonal skills.
