Oxford Food Hub’s Vision is to be the charity partner of choice for Oxfordshire food producers, retailers, and community groups, transforming food waste into food security.
Our Mission is to:
● Minimise food waste - save surplus food from producers, wholesalers and retailers, reducing carbon emissions and protecting the environment
● Alleviate food poverty - provide free food to Oxfordshire charities and community groups, and increase access to healthy food
Oxford Food Hub has been awarded some funding for a 6-9 month project to develop and improve our data systems. We aim to streamline our data systems, particularly around Customer Relationship Management to better track our fundraising income, our relationship with charity partners and financial donors.
We are looking for someone with the technical knowledge and expertise to rationalise our current databases and spreadsheets, to set up and implement new inputting and reporting systems, and help analyse the data we hold.
This work will help inform a donor stewardship plan and data inputting procedures and analysis to support our charity as it grows.
ROLE PURPOSE
The Data Systems Officer to work with us for up to nine months to plan and implement improvements to our database and customer relationship management systems; streamlining data entry process and creating protocols to guide their use.
The Data Systems Officer will develop new systems to monitor and forecast fundraising activity
The Data Systems Officer will work closely with the CEO, Outreach and Administration Coordinator to support the fundraising activity of Oxford Food Hub, informing the development of a donor stewardship plan.
KEY RESPONSIBILITIES
Improving Information Systems
● Amalgamate donor, friends, companies and volunteer data in a systematic way
● Extraction of demographic and statistical data for the team and trustees as required
● In association with the CEO establish clear protocols for use of the database and data entry
● Produce reports from the database for the Food Hub team as requested
● Maintain data systems including data cleansing
● Ad hoc data requests from the team
Supporting Fundraising Activity
● Providing projected yearly income reports
● Reconcile gifts received
● Provide weekly cash received reports for the team
● Provide financial data for the Trustees when requested
● Work with Outreach and Administration Assistant on monitoring regular gift retention
Donor Stewardship Support
● Work with the Food Hub staff and trustees to develop a greater understanding of the donor base and to assist in creating a clear stewardship strategy
PERSON SPECIFICATION
Experience, Qualifications and Qualities
Essential
● High level of computer literacy and proficient in use of Microsoft Office products (especially Word, Access and Excel)
● Substantial experience working with databases, data manipulation, e.g. transferring and formatting files in preparation for import/export, and data analysis to produce meaningful reports
● Experience designing data entry systems and writing protocols for their use
● Managing financial data reconciliation and data integrity
● Understanding of confidentiality laws and GDPR guidelines
● Ability to organise and manage data projects with high efficiency, yet thorough attention to detail and follow-through
● Resourceful and able to work on own initiative
● Responsive and expedient with the ability to manage multiple, diverse and competing priorities while meeting deadlines
● Educated to degree level, or with equivalent administrative / technical competence gained through relevant experience
● Understanding of the importance of data to enable the Food Hub to flourish
Desirable
● Experience of using Blackbaud (eTapestry) Software
● Ability to create visual representations of information to assist with communications
● Experience of working in a team
● Commitment to the mission and values of OFH
This role could partly be undertaken remotely, with some time spent at our base just outside Oxford with the team. We envisage this role being 2-3 days a week.
