Data Processor / Clerical Assistant
(Temporary - Maternity Cover)

We are looking to recruit a Data Processor / Clerical Assistant to provide maternity cover from May 2023 at our
Junior School in Bearsden.

The post requires the successful candidate to work from Monday to Friday, 8.00am until 4.30pm, with a one-hour lunch break (unpaid). This is a full-time, temporary position, with 27 days annual leave to be taken during the school holidays as per our normal agreed patterns.

This is a most exciting opportunity to join our staff team. The successful candidate should have the experience and expertise required to meet the Person Specification that follows.

The appointment will be subject to a successful application to join the Protecting Vulnerable Groups (PVG) Scheme.

Job Title - Data Processor / Clerical Assistant

Reports To - Office Manager / Head Teacher

Salary - approximately £25,000 per annum

Location - Junior School (Bearsden)

Principal Accountabilities

Main Duties

  • To provide full secretarial support and assistance to the SLT and all teaching staff.
  • To plan, develop and manage school outings, throughout the year: liaise with teachers, research trips, book venues, organise payment, book transport, prepare letters and distribute and prepare a spreadsheet with full information for teachers. This includes liaison with the bus company for day to day transport requirements.
  • To update and maintain the Junior School Portal, post blogs, upload policies and documents, produce newsletters, update the school calendar, upload and update any other information required.
  • To co-ordinate, financially manage and plan extra-curricular club activities: set-up term dates for the various extra-curricular clubs, contact external and internal coaches, prepare and distribute letters, collate application forms, co-ordinate payments through ParentPay, collect and monitor payments and set up club registers.
  • To organise and oversee arrangements for parent evenings: setting up appointment times for all pupils taking into account parental requests, mailing and distributing information and liaising with teachers.
  • To administer the Out of School Care (OSC) database system Connect Services: processing OSC emails, bookings, cancellations and handling telephone queries. In addition, to update/add records on the Connect database, to run billing/invoicing monthly, set up mailing and liaise with OSC Managers.
  • WCBS / 3Sys Database: to set up database reports, carry out data entry, process system reports and provide clerical/administrative support and assistance to staff.
  • My School Portal to email and text group messages for the SMT and teaching staff.
  • Pupil School Reports: to assist teachers with the printing of draft and final school reports from the 3Sys

Database, organise School Report print-outs and distribution to parents who request paper copies.

  • To design and develop various school programmes and publications, mainly through Microsoft Office software.
  • Process Worldpay payments.
  • To carry out the billing of the Out of School Care and Kindergarten Services, including the ongoing reporting of the childcare voucher scheme and the collection of OSC fees.
  • Prize giving: to prepare presentations, spreadsheets and mail merge letter documents, including the mailing of Prize winners letters and the selection of digital photographs.
  • To assist with administration including contacting external organisations, compiling information and setting up timetables for themed weeks.
  • To handle post and electronic mail. Meet, deliver messages and engage with all school visitors at reception, dealing with phone enquiries, deliveries, and all other general reception duties.
  • To assist with reprographic (photocopying, collating, stapling and binding) work and with the ordering of stationery, supplies and equipment and associated procedures related to the receipt of goods
  • As required, to provide assistance with medical care, medical information recording and pupil welfare tasks.
  • To assist with pupil supervision by travelling weekly to the Senior School on the bus with pupils and to supervise the School playground on occasion, if required.
  • To carry out any other similar and appropriate duties as required.

The School was founded at Glasgow Cathedral in the 12th century, became the Grammar School of Glasgow under the control of the Town Council in the 15th century and was renamed the High School of Glasgow in 1834. In 1894 the Glasgow High School for Girls was founded. When education in Glasgow was reorganised in the I970's, the
Glasgow High School for Girls became a comprehensive school and lost its identity, and the High School of Glasgow was closed. The new, independent, co-educational High School came into being in 1976 on the day after the closure.

The School is housed on two sites approximately two miles apart on the north side of the city. There are 684 children at the Senior School, 283 at the Junior School - a total of 464 girls and 503 boys. The Rector has overall responsibility for the whole school; there is also a Head Teacher at the Junior School and a Head of Senior School. The modern buildings at the Senior School are set on extensive playing fields at Old Anniesland while the Junior School is situated in Bearsden in buildings that have been modernised and extended.

Junior School developments have included a special area for pre-school Kindergarten, a suite of rooms for Primary I and 2 children, refurbished Primary 4 and 5 classrooms and Art room, and at the Senior School a Drama Studio, a grandstand containing a refectory and multi-gym fitness centre, a new Information and Communications Technology building, a new state of the art Science extension, opened in 2008 as well as refurbished sporting facilities including five rugby pitches and two artificial hockey pitches, the most recent being an international standard water-based pitch as part of our on-site 23 acres of playing fields. In November 2017 a new Health and Wellbeing Centre was opened.

Since 1976, the High School has established itself in a manner that its supporters could barely have expected in the
1970s. Over £12m has been raised through a combination of resources, appeals and individual donations. Very few schools can have received such support from its former pupils, parents and well-wishers and we benefit from a very positive school and alumni community.

Through the High School of Glasgow Educational Trust we are able to support annually between 60 and 70 Senior
School pupils with bursaries who would not otherwise be able to attend the school.

The High School has established itself as one of the leading independent schools in the country with a high demand for places and an outstanding academic record.
