Job description
Role Purpose:
- To provide data inputting support for all mandated data collection.
- To provide data inputting support for the Finance department.
- To work flexibly in supporting the management and admin team.
Role Context:
- A good team player who is self-motivated and flexible, providing a high level of administrative support to the Hospital.
- The post holder will demonstrate good organisational skills, be capable of working to deadlines and have a high degree of data accuracy.
- The post holder must be capable of using their own initiative and working without direct supervision.
- The post holder must maintain confidentiality and be able to understand and act on information within the boundaries of the role.
- The post holder will be familiar with a range of IT systems and the use of Sage (training given).
Key Tasks & Responsibilities:
- Extract clinical, administrative and financial data from both computerised and paper-based systems ensuring that the data is accurate, consistent, timely and up-to-date.
- Assist with the co-ordination, uploading, checking and resolution of data and data queries.
- Create spreadsheets and run reports.
- Provide a confidential and comprehensive administrative service and undertake a full range of duties in line with job role.
- Data in-putting on a regular basis, ensuring accurate information is inputted into patient records, internal and external databases as required..
- To be conversant with all of the services offered within Riverdale.
- Knowledge of Data Protection Act and Patient Confidentiality, Risk Management and Health and Safety Procedures and ability to work within these.
- Responsible for the timely completion of all Mandatory Training.
- To communicate confidential, sensitive or contentious information with a range of people internally and externally across organisations.
- To communicate effectively and appropriately through a range of media.
- To provide prompt responses to queries that come into the service when required.
- To work flexibly as a member of the team and to conduct and complete work generated by the Line Manager within deadline and with a high level of accuracy.
- To manage and organise the workload effectively and appropriately, through prioritisation, organisation and planning. Organise and plan day-to-day workload or activities in order to meet the demands of the job role.
- The post holder is expected to use their initiative to a significant level and work without direct supervision.
- Escalate as appropriate if an issue/problem cannot be resolved and requires assistance from their Line Manager.

General Duties
The post holder’s adherence to the job description and specific role objectives will be reviewed as a matter of routine within supervision and appraisal. This allows for appropriate stretch and support for each individual working within a generic job description and meets individual needs creating opportunities for growth.
Data Protection
The post holder must at all times respect the confidentiality of information in line with the requirements of the Data Protection Act. This includes, if required to do so, obtain, process and/or use information held on a computer in a fair and lawful way, to hold data only for the specified registered purposes and to use or disclose data only to authorised persons or organisations as instructed.

Variation Clause
This is a description of the job, as it is constituted at the date shown. It is practice of the hospital to periodically examine job descriptions, update them and ensure that they relate to the job performed and are fit for purpose. As such the hospital may amend job descriptions over time.
Dimensions
Riverdale Grange Hospital provides a service to 18 patients over 2 wards, one CAMHs and one adult, who have a diagnosis of eating disorder and may detained under Mental Health Act (1983).
The post holder will maintain a clean and safe environment which is fit for patients, staff and the public to use.

COMMUNICATION & RELATIONSHIP SKILLS
- Receiving sensitive information in an atmosphere where patients can be hostile, antagonistic or emotive, where adherence to detail and accuracy must be high.
- Act in an appropriate dignified and responsible manner with patients, relatives, colleagues, using appropriate language and communication skills which acknowledge cultural differences.
PHYSICAL EFFORT
Minimal physical effort required as this is a desk-based role. However, there may be some manual handling an movement required.
EMOTIONAL EFFORT
- Occasional exposure to highly distressing, traumatic incidents such as self-harm, nasogastric feeding, verbal abuse or challenging behaviour from patients. May hear and witness patients who, at times, present with a heightened level of distress and noise, agitation and hostility.
- Some patient reports/referrals may contain sensitive and upsetting information.
- Maintaining high levels of self-awareness, mindfulness and vigilance within the working environment. Ability to maintain a balanced/objective perceptive while working under potentially stressful situations and conditions.
MENTAL EFFORT
There is a need to respond flexibly, sensitively and appropriately to situations within the context of work and in line with patient need/circumstances within the clinical environment.
WORKING CONDITIONS
Occasional exposure to verbal abuse from patients. By their placement in Riverdale Grange Hospital, all patients are deemed to be vulnerable and may present a risk to themselves. There is a potential risk to the post holder in relation to patients attempting to make contact (e.g. importance of clear professional boundaries is maintained).
