Job Description Summary

The City of Goodyear is looking for a personable, highly-motivated, and detail-oriented individual for the position of Administrative Assistant in the Parks & Recreation Department. This position will provide a high level of customer service and administrative support in the afternoon and evenings at the Goodyear Recreation Campus. This person will manage projects, plan processes, and provide information and assistance as requested. Duties will also include answering telephones, processing mail, providing customer assistance, researching information., managing records and various department accounting functions.

The ideal candidate will have previous customer service experience in a recreation center setting, exceptional customer service skills, and enjoy working in a fast-paced, collaborative environment. The successful candidate will be able to multi-task and perform high-quality work in managing registrations, customer accounts, reconciliation, and front desk operations at the new Goodyear Recreation Campus. Must be able to maintain a positive and consistent demeanor while dealing with both internal and external customers. Must be available to work afternoons/evenings as a part of a normal work-week schedule.

Examination Process:
Only a limited number of the most highly qualified applicants meeting the City's requirements will be invited for an interview. The examination process for this position will include: Panel Interview.

Essential Functions

  • Formal Education/Knowledge: Work requires knowledge of a specific vocational, administrative, or technical nature that may be obtained with six months/one year of advanced study or training past the high school equivalency. Community college, vocational, business, and technical or correspondence schools are likely sources. Appropriate certification may be awarded upon satisfactory completion of advanced study or training.
  • Experience: Minimum two years of experience in a related field.
  • Certifications and Other Requirements: Valid Driver’s License.
  • Reading: Work requires the ability to read and comprehend budget instructions, reports, strategic planning documents, correspondence, software manuals, management books, trade journals, and policies.
  • Math: Work requires the ability to perform general math calculations such as addition, subtraction, multiplication, and division.
  • Writing: Work requires the ability to write memoranda, correspondence, reports and produce written documents with clearly organized thoughts using proper English sentence construction, punctuation, and grammar.
  • Managerial: The job has no responsibility for the direction or supervision of others but may provide advice/direction to an employee with less experience/skill or tenure.
  • Policy/Decision Making: Moderate - The employee performs the duty assignment after receiving general instructions on methods, procedures, and desired end results. There is some opportunity for discretion when making selections among a few easily identifiable choices. Work involving discretion is typically reviewed before being finalized.
  • Technical Skills: Broad Application - Work requires a comprehensive, practical knowledge of a technical field with the use of analytical judgment and decision-making abilities.
  • Interpersonal/Human Relations Skills: Moderate - Interactions may involve supporting controversial positions or negotiating sensitive issues or important presentations. Requirements

  • Greets and directs patrons in person and on the telephone while answering program questions efficiently and accurately.
  • Point of sale and sales processing for Recreation programming, special interest classes, membership fees, etc.
  • Responds to and resolves complex inquiries from citizens and other agencies regarding registration, financials and program support functions.
  • Creates and analyzes reports related to program participation and identify irregularities and discrepancies on accounts including individual and organizational accounts.
  • Maintains a working knowledge of all general and building safety rules including specific knowledge of front desk operations, facility operations and basic knowledge of fitness and aquatics areas. Enforces safety rules and improves public and employee knowledge by preventing and correcting unsafe behavior.
  • Processes customer requests, payments, account updates, registrations and accounting processes related to recreational programs and services. Assists customers with understanding and registering for programs and services within the department.
  • Demonstrates excellent customer service through daily interactions with internal and external customers through phone, email, and in-person communication.
  • Performs financial and accounting duties such as updating various reports, records, updating information in city accounting software, and providing general audits to the cash handling, reconciliation and deposit of funds.
  • Manages the daily upkeep and operations of the front desk of the Recreation Division, which include ordering and maintaining regular supplies in support of recreation programs and services.
  • Serves on City teams as assigned by attending meetings, performing assigned tasks, and working in cooperation with other City employees for a common goal.
  • Assists department with records management (may serve as Records Control Officer), report preparation, special projects and activities, CARs, presentations, operational and strategic plans, and customer requests for information. Assists management staff with follow up on work assignments within the department.
  • Performs general financial and accounting procedures for the entire department by reconciling department staff monthly procurement card purchases, coordinating and centralizing the purchase of department supplies, initiating purchase requests within the purchasing system, and receipting goods and services within the purchasing system.
  • Develops, edits, or compiles various department reports such as the weekly activity report, monthly City Manager’s report, monthly project status report, annual strategic plan, etc.; analyzes statistical data and generates standard reports.
  • Provides support to others within the department as necessary.

12 Month Objectives

  • Read and understand all Standard Operating Procedures for front desk operations at the Goodyear Recreation Campus
  • Become familiar with all current software systems, including Fusion, Sub it Up, Munis, Executime, and Questica.
  • Demonstrate proficiency in processing payments on customer accounts
  • Demonstrate proficiency in setting up new consolidating and updating customer accounts.
  • Complete all necessary budget reviews and updates in a timely manner with your supervisor.
  • Provide exceptional customer service to guests at the Goodyear Recreation Campus.
  • Demonstrate proficiency in submitting, managing, and auditing deposits for GRC.
  • Support and promote a culture of Innovation by completing one LEAN initiative project for an assigned area of responsibility.
  • Assist the Recreation Superintendent in completing duties assigned to completing goals associated with the Parks and Recreation Master Plan.
  • Comply with the Department Safety Management Program and fulfill duties appropriate to the job function.
  • Read, understand and become familiar with all city policies and procedures.
