Job Title School Green Centre Customer Care Team Member

Hours 15.5 hours per week (Hours of work Saturday 08:45 – 17:00 and Sunday 09:45 – 16:30)

Salary £22,369 per annum FTE (pro rata)

Contract Permanent

Reporting to The Clerk (in time this will change to Deputy Clerk)

Specific Responsibilities:

Reception Duties

  • Dealing with face-to-face customer enquiries and complaints and ensure they are addressed promptly and/or escalated appropriately
  • Receiving and dealing with routine correspondence and documents
  • Booking of Facilities which includes monitoring the mailbox for initial enquiries, responding to enquiries, diary entry, confirming bookings, and making sure hirers understand the hire agreement and use of the venue
  • Production of caretaking and activity reports
  • Hold and allocate key fobs to hirers for entry to secondary facilities as and when required
  • Meet and greet new and potential users and show them round the building, answering any questions related to the halls
  • Reception duties include signposting, selling Wokingham Borough Council waste bags and supporting the library

Community Centre Building Duties

  • Responsible for the daily health and safety checks around the building including fire doors, fire extinguishers and blankets and lighting and heating
  • Making regular checks throughout the day to toilet facilities and report any variations to the standard of cleanliness to the relevant staff member/contractor
  • Checking that the non-commercial kitchen is clean, equipment is working, and the fridge is empty after users have vacated
  • Checking rooms after hirers have vacated and making sure they are ready for the next hirer
  • Report any issues to the relevant staff member/contractor
  • Making sure the venue if free of visitors and secured at the close of business (this will entail lone working late at night)

  • Any other jobs that may be required and are determined to be commensurate with the grade

Knowledge

Essential

  • Competent knowledge of administrative functions

Desirable

  • Familiar with the geography and demographics of the parish and its surrounds
  • Have a basic understanding of the role and services provided by local councils

Experience

Essential

  • Previous experience in a customer orientated environment and/or
  • Experience of working in a busy reception area

Desirable

  • Previous experience in managing room allocations / hall bookings such as community halls and/or sports facilities an advantage.
  • Previous experience of carrying out health and safety checks in buildings would be an advantage
  • Experience in using electronic booking systems would be an advantage
