Salary: Band B London Living Wage to £28,000 per annum,

Works closely with: Finance Administrator and Finance Consultant; and all
departments across the Gallery

ABOUT THE ROLE
The post plays a critical role within the Finance Team and the wider
staff at the gallery to ensure that financial processing is recorded,
accurate and dealt with in a timely way.
The Finance Assistant supports the Finance Team with day-to-day
duties and occasionally, the front of house team with general visitor
enquiries.
MAIN DUTIES
- Post the daily Bank transactions to the relative codes in Xero (finance system).
- Make sure the bank is reconciled daily.
- Bank Friends and general Development cheques.
- Liaise with the Development Team regarding different streams of income
- Be the go to person at Dulwich Picture Gallery for finance coding queries.
- Post all Purchase Invoices and expenses to the finance system.
- Raise Sales Invoices when requested and chase Debtors when necessary.
- Post Shop income to the finance system and reconcile.
- Manage both Credit Card systems(Barclaycard and PLEO) we use at the
- Ensure all staff provide receipts and coding.
- Monitor and reply to emails in the Finance email and respond to questions,
- Manage the ApprovalMax (purchase invoice authorisation system), ensuring
- Support with the Expenditure budgets (particularly Operations), with
the Head of Finance, interrogating where savings could be made when
appropriate dealing with suppliers to get the best rates, or obtaining quotes.
- Reporting any discrepancies or areas to make efficiencies to the Head of
- Administer the Finance and Directorate Budget with the Head of Finance.
Director (DD).
- Take responsibility for all cash at the Gallery and any Petty cash Floats. Look
- Produce the Monthly Management Accounts file and make sure it is reviewed
- HR administration, drafting contracts and letters for staff.
- Ad hoc Finance projects.
- Ad hoc cover for the Gallery’s main reception line, supporting the team with
ticket sales answering general enquiries

PERSON SPECIFICATION
- Experience working in a Finance Department
- Proven ability to work simultaneously on multiple, time-sensitive projects,
- Highly organised with meticulous attention to detail
- A team player with strong communication skills
- Experience of monitoring and tracking expenditure against budgets.
- Experience of working with finance systems
- Understanding of VAT
