Job description
This role sits within a small, yet crucial team and reports into the Creative Workflow and Operations Manager. The team is responsible for the day to day operations of the team including workflow and resourcing, optimisation of work, reporting and analysis, offshore supplier and agency management, optimisation in technologies, and financials. Responsibilities are widening in scope based on new needs for the team, management and the business.
You will work as part of a wider design team to improve our creative processes across all areas. Sharing knowledge, resources, experience, processes, creative ideas and suggestions with our design team.
About the role
Responsibilities include:
You will be part of a team that is responsible for the booking in process for all requests coming into the Creative and Visual Design Team but with a focus on agency and offshore traffic. Using associated resourcing tools (Service Now and Talentlink), you will help align jobs to our traffic light system to best match resources with the job requests. This workflow management piece will be 50% of the role. The other 50% of the role will focus on all of the operational work in regards to our agencies and our team that sits offshore.
Workflow Management (50%) :
Your expertise in resourcing will be crucial to your involvement in defining new workflow technologies and piloting new ways of working with our Offshore Teams and agencies. Using TalentLink to plan and schedule the designer's workflow, you will be forward focused and will manage scheduling of work whilst optimising the usage of our Offshore Team and agencies.
You will be the first point of call for our clients to provide clarity on timelines / processes and correct any issues.
You will raise resourcing issues in advance of potential harm of quality, cost, time loss.
You will provide reporting of management information of our agencies and offshore to relevant team leads and management and help develop processes to stay agile and improve our ways of working.
You will work closely with project managers to ensure work flow is delivered on-time and we consistently exceed expectations.
You will be responsible for consulting with the business alongside other team members, supporting the conversation with the Creative Services Manager, to help them articulate what channels would suit their campaign or project. Your stakeholder management skills will be crucial in order to influence decisions to optimise our resources.
You will grow to understand the PwC organisation, how the role supports the PwC experience and the creative team’s strategic goals.
You will help the design team think bigger, better, bolder, challenging when you feel we could deliver better. You’ll help them think ‘art of the possible’
Agency and Offshore Team Management (50%) :
You will provide daily operational management of our Offshore Team and agencies
You will create weekly and monthly reports for the Offshore Teams and agencies, whilst working closely with Creative Workflow and Operations Manager to collate reports into one dashboard. This will include using data manipulation softwares including Alteryx and Tableau to reflect the live data. Some regular reports include Monthly Film & Animation and Project Management MI which seeks to gather data from external sources, agencies, and internal tools, analysing information, and developing interactive data dashboards for data-driven decision making.
You will monitor the utilisation of our Offshore Team and agencies to ensure that we are using best practices and that the usage is as efficient as possible.
Your stakeholder management skills will be essential to your involvement in working with our Offshore Team and agencies as you will need to lead weekly, monthly, and quarterly operations calls to escalate issues whilst maintaining excellent relationships with them
Working with the Creative Services Manager you will seek to optimise and find new processes for our Offshore Team and agencies. You will identify inefficiencies and seek to implement new services and distribute work across all areas of the Creative and Visual Design team.
You will be responsible for reviewing and evolving Offshore Team and agencies offerings and you will be responsible for troubleshooting any workflow issues.
You will manage Offshore Team’s holiday calendar and resolve any resourcing issues around their holidays.
You will be instrumental in supplier selection and ensuring we find the most suitable agencies for various jobs working with our Creative Project Managers.
You will also be responsible for the operations of Coupa (purchase order and agency invoicing product) ensuring that agencies receive correct Purchase Orders (POs) so they can invoice PwC for work delivered. In addition you will support any further implementations of the Coupa system within our team.
Requirements
Experience of working on and managing multiple resource requests with various deadlines ( Ideally experience managing workflow across artwork, design and creative teams)
Strong attention to detail, analytical skills, numeracy, and data management skills.
Strong communication, persuasion and presentation skills, with the ability to explain the value of efficient, agile and resourcing requirements to clients.
Championing effective internal communication within the team, with clear messaging on resource status and operational updates.
Understanding the skillsets across the departments to reduce risk and increase opportunities.
Ability to think broadly, influence and challenge internal clients and stakeholders on their initial requirements. Strong stakeholder management skills.
The role will suit someone who is calm under pressure, highly organised and methodical and able to make informed decisions rapidly and accurately.
Highly skilled in Microsoft Office (PPT, Word and Excel) and Google applications (Sheets, Slides and Docs)
Experience in Project and Traffic Management software (ServiceNow and Talent link) would be preferred.
Experience of Coupa, purchase orders or invoicing an advantage.
Experience in data management, processing and using tools such as Tableau and Alteryx would be preferred.
Strong attitude to teamwork and professional development.
A flexible ‘can do’ and ‘hands on’ attitude, with a client-centred approach, excellent interpersonal skills and a healthy sense of humour.
Experience in a fast-paced environment at an agency or corporate/professional services firm
Ideally have 2-3 years’ experience within an integrated traffic/ workflow/ studio management team.
