Job Description:
The Corporate Services department is responsible of the delivery of a successful client and employee experience within the following groups:
- Events: responsible for any Dimensional client conferences and internal bookings.
- Broadcasting: responsible for every aspect of the virtual experience, managing the audio-visual aspects of webcasts, events, recordings, VC assistance.
- Business Services: the front-of-house experience with reception, meeting rooms, switchboard and admin of services including all EMEA travel bookings, onboarding and offboarding process, facilities and M&E, contracts and supplier lists.
The Business Services receptionist is responsible for ensuring the correct arrival and departure processes are followed for all clients, staff and visitors associated with the London office. The reception function will also ensure all processes are followed relating to switchboard management, client and employee experience, outlook calendar management and monitoring of room bookings. Part of the required tasks is to work alongside the AV / Events support to ensure a successful completion and execution of all meetings and VC’s.
Responsibilities:
- Welcoming all clients, visitors and Dimensional staff and act as a host to create a memorable experience.
- Switchboard management, ensuring all incoming phone calls are answered in a timely and polite manner; management of call transfers and voicemails handling everything within the appropriate time frames.
- Ensuring the front-of-house is kept tidy and reception desk is attended at all times.
- Management of all incoming and outgoing post, package deliveries and courier services.
- Management of the outlook calendar with respect to internal and external meetings and liaising with global admins and hosts when required. Allocating meeting rooms prioritizing client meetings and ensuring monitoring and control across all rooms throughout the day.
- Assist with any requests for meetings, such as VC assistance, connections and testing, catering, room set-up, management and communication of special requirements, liaising with catering staff when necessary.
- Ensure effective supervision and management of the client cloakroom.
- Support with all Fire / Health & Safety processes provided to the community. To assist in all fire drills or health and safety tasks delegated by the business services manager. These roles include: Disaster Recovery (DR) Business Continuity plan (BCP) fire drills and evacuations, first aid and wellness room policy, staff recording and monitoring.
- Management of the onboarding process of new employees, including desk set-up, documentation, materials, working from home equipment deliveries, liaising with Technology and HR with any ad-hoc duties.
- Ensure effective stationery storage and ordering.
- Facilitate tidiness and good order of the main binding room.
- Keep the shared records of bookings, new hires and visitors, car park requests, up-to-date and share any relevant info to the rest of the team.
- Assist with VC meeting room set-up, including Zoom and Teams calls, as and when required.
- Establish a good line of daily communication, ensuring best practice working relationship with the Business Services Manager and any other associated staff, including sharing and communicating daily meeting summaries, event summaries, orders and supplies, client/employee requests.
- Assisting the event team in the organization and delivery of both internal and external events.
- To foster and nurture a positive teamwork culture, to help and support all work colleagues and managers within the business.
- Any other ad-hoc duties as required.
Qualifications & Skills:
The candidate must demonstrate key client engagement skills, collaborative attitude and excellent communication skills.
- Strong interpersonal skills, with a positive, approachable, and proactive attitude.
- Prior experience working in a front-of-house capacity, within a corporate environment.
- Able to work equally well in a team environment and independently
- Detail-oriented
- Ability to work with software such as Excel, Word, Visio, PowerPoint etc.
- An excellent attitude and approach to multi-tasking duties, flexibility and organisation skills.
- Previous experiences with video conferencing systems and virtual platforms (Zoom, Teams, Webex, Video Bridges etc.) preferred.
