Role Description
We are seeking a highly motivated and experienced International Tour Coordinator to join our team at Cuffe and Taylor. As the International Tour Coordinator, your primary responsibility will be to secure and negotiate various opportunities worldwide with the current roster as well as looking at expansion across the department.
You will play a crucial role in coordinating and managing the logistics of our theatre show tours across multiple international locations. As part of your role you will be expected to work closely with artists, production teams, venues, and various stakeholders to ensure smooth operations and successful performances. It’s important that you are able to maintain long established relationships with producers, promoters, agents, artists and venues.

In 2023 Cuffe & Taylor were recipients of an Olivier Award, for Best Family Show, for their original production of ‘Hey Duggee - The Live Theatre Show’.
Who You Are
- Proven experience in international tour coordination, preferably in the entertainment or performing arts industry.
- An established network of international industry contacts.
- Knowledge of a variety of genres within the industry.
- Strong organizational skills with the ability to manage multiple projects simultaneously and meet tight deadlines.
- Excellent communication and interpersonal skills, with the ability to build relationships and collaborate effectively with diverse stakeholders.
- Knowledge of international travel logistics, visa requirements, and cultural considerations.
- Attention to detail and strong problem-solving skills.
- Proficiency in using tour management software, spreadsheet applications, and other relevant tools.
- Flexibility to travel locally and Internationally and work irregular hours as required by tour schedules.
- Organising and attending international conferences.
- A passion for the theatre and music industry.
Responsibilities
Tour Planning and Coordination:
- Collaborate with the production team to develop comprehensive tour itineraries, considering logistics, travel arrangements, accommodations, and performance schedules.
- Liaise with venues, promoters, and local partners to negotiate contracts, secure performance dates, and finalize arrangements for each tour stop.
- Coordinate transportation logistics, including booking flights, ground transportation, and shipping equipment between tour destinations.
- Manage visa and work permit applications for artists and crew members, ensuring compliance with local regulations and requirements.
- Maintain accurate and up-to-date tour documentation, including contracts, permits, licenses, Tax and insurance.
Budget Management
- Independently building budgets and offers as well as working closely with the finance team to develop and monitor tour budgets, ensuring financial viability and cost control throughout the tour.
- Track expenses, review invoices, and reconcile payments related to tour logistics, travel, accommodations, and production requirements.
- Identify cost-saving opportunities without compromising the quality and integrity of the tour.
Stakeholder Communication
- Serve as the primary point of contact for tour-related communications with artists, production teams, venues, promoters, producers and local partners.
- Coordinate with internal departments, such as marketing, ticketing, and PR, to ensure effective promotion and marketing strategies for each tour stop.
- Communicate tour updates, changes, and any relevant information to all stakeholders in a timely and efficient manner.
Risk Management
- Identify potential risks and challenges associated with international touring, such as travel disruptions, visa issues, cultural considerations, and security concerns.
- Develop contingency plans and procedures to mitigate risks and ensure the safety and well-being of the touring party.
- Stay informed about relevant travel advisories, regulations, and industry trends to make informed decisions and adapt tour plans accordingly.
