THALES are looking to recruit a passionate and organised Contracts Administrator to suppo rt the achievement of BU financial/strategic object ives, to ensure compliance with ethical and contractual unde rtakings. Based from Crawley for our Front Office and Digital Services Division .

Your role will be to support the achievement of business unit financial and strategic objectives, ensuring compliance with ethical and contractual undertakings and ensuring the commercial integrity of the commitments being made on behalf of the company.

What will you deliver?
- Assist Business Unit’s (BU’s) with completing contract data entry e-form as required
- Set up new and replacement contracts and projects, liaising with the Project Controller to ensure tasks are added.
- Approve contracts and projects in Oracle B-1 then add all key members, ensuring a Project Manager is assigned and a Service Delivery Controller is allocated
- Manage the requirement for additional funding in response to additional order intake. Monitor funding of foreign currency projects.
- Create and maintain invoice events in Oracle B-1 in anticipation of being requested to send to AR, promoting the use of Bots.
- Accurate and timely generation of invoices, inclusive of monthly invoicing for the BU’s the role acts for. This will include invoicing on customer portals such as Exostar.
- Generate credit notes, as required, obtaining necessary approval from Project Manager and Project Accountant before processing
- Liaise across the business to resolve customer financial enquiries of varying levels of complexity
- Monitor and review BI reports to make sure that Oracle data is as up to date and accurate as possible
- With support, understand and enforce the UK process for use and management of Customer Portals
- Understand and create/ maintain e-forms
Who are we looking for?
- A Proactive and Collaborative individual with strong communication skills (both written and verbal)
- Previous experience pulling together data from various sources to prepare and present on Excel spreadsheets.
- Previous experience in an office environment, service desk or transaction environment is important. Invoice and Credit experience, ideally with a level of investigation and support.
- Previous Oracle experience (or equivalent ERP system)
- You will be able to prioritise tasks and manage your own work load
- Work well under pressure
