LGIM Real Assets are looking for an EA who can bring all their skills to bear in this fast-paced, dynamic role. You will be supporting a busy Senior Exec and his team who are looking for someone with outstanding diary management skills, the ability to provide solutions and become an integral part of the team. What you'll be doing- Proactively and strategically manage the diaries for the Global Head of Real Assets and Head of Strategic Change, ensuring they are fully prepared for all meetings:
- 1:1's with direct reports and key internal stakeholders
- Daily catch ups with both key stakeholders to run though diaries, resolve queries and flag major events, speaking engagements and ensuring materials are prepared in a timely fashion, liaising with the relevant stakeholders to achieve this.
- Liaise with LGIMA regarding attendance at Monthly US Real Assets SteerCo meetings, LGIMA Strategy Sessions and Board Meetings.
- Ensuring meetings rooms are booked for meetings as appropriate to ensure privacy and confidentiality (Board Meetings, Performance Reviews, etc)
- Be an ambassador for the Global Head of Real Assets and Head of Strategic Change both internally and externally
- Anticipating key stakeholders’ needs, proactively resolving diary clashes and proposing ideas to resolve these
- Ensuring Mid and End of Year Performance Reviews are scheduled on behalf of key stakeholders, ensuring that their direct reports submit documents ahead of meetings for review. In addition, ensuring key stakeholders are prepared for their own Mid and End of Year Performance Reviews.
- Colour code the diary in a consistent manner providing ‘at a glance’ clarity for key stakeholders regarding meetings that need to be attended, where apologies have been given, etc.
- Ensuring that the diary is clearly marked where papers are available for meetings and annotate the diary with regard to apologies or any other matters of interest for meetings. When appropriate, providing hard copies of meeting materials.
- Build a strong working relationship with the Business Manager on the Strategic Change tam and liaise closely with them regarding any diary conflicts in the first instance.
- Working with Company Secretariat to ensure that all Real Assets Board meetings are set up in the correct order, with the appropriate attendees and that relevant information is included in the Company Secretariat meeting requests. In addition, understanding whether hybrid meetings are appropriate.
- Be the point of contact for external bodies of which the CEO is the Chair/Board Member/Trustee
- Developing good relationships with external stakeholders
- Overarching oversight of, and responsibility for, the Business Support team
- Arranging, chairing and providing the agenda for the monthly Business Support team meetings.
- Dealing with matters on behalf of and providing guidance to the Business Support team, eg performance, focus areas, personal development, technical training.
- Recruitment of permanent and contract PAs for the Real Assets platform.
- Being a role model to the Business Support team for LGIM’s behaviours: purposeful, collaborative and straightforward.
- Ability to demonstrate leadership capabilities, eg taking decisive action, thinking strategically about how the team supports the business, understanding when team members might need additional support or training.
- Approvals on internal systems
- Expenses, raising purchase requisitions and setting up new suppliers when necessary
- Travel and accommodation, ensuring comprehensive itineraries are created and clear to key stakeholders ahead of travel
- Occasionally take minutes at meetings as and when required.
- Ability to undertake ad hoc projects such as in-person or virtual meetings or events, either internally or externally. Ability to deal with and overcome IT issues that might arise (eg, using WebEx or other similar platforms).
- Speaking events: ensuring there is time in the diaries to prepare and that any stakeholders involved are fully prepped and briefed ahead of time to ensure timely production of materials.
- Dealing with ad-hoc, often urgent, diary requests which can require co-ordination of a significant number of senior level diaries.
- Proven track record working as an Executive Assistant supporting senior executives with complex, ever-changing priorities and deadlines
- Ability to demonstrate gravitas, credibility and leverage relationships to complete tasks
- High levels of proactivity required along with good decision-making skills and being ‘one step ahead’
- Ability to challenge requests and provide alternative solutions
- Ability to influence and persuade in a calm, diplomatic and positive manner
- Strong collaboration skills with the ability to be the cornerstone of a team
- Flexible in approach to projects/workload
- Ability to adapt to new and changing situations
- Excellent communication skills both verbal and written with the ability to draft communications on behalf of key stakeholders
- Resourceful with highly developed problem-solving skills
- Results driven and goals focused
- A wealth of experience of administrative and PA/EA responsibilities with a proven track record of working in an investment management/financial services environment
- Highly organised with proven ability to run complex and ever-changing diaries
- Ability to work closely with and interact in a team environment
- Happy to work with minimum supervision and use own judgement in order to make good commercial decisions
- Strong interpersonal skills required in order to build relationships internally and externally
