Job Title

Club Assistant, reporting to the Club Manager

Job Overview

The main duties are to offer a warm welcome to users of the club and deal professionally and courteously with their queries, prepare and serve refreshments, help maintain the facilities to a very high standard, and carry out administration duties which support the running of the club.

This job description sets out the broad duties and key tasks involved in the role, but it is not an exhaustive list. You therefore should undertake any reasonable duty or task assigned or necessary in line with your main duties, and ensure all club policies and procedures are followed in the performance of your duties.

Job Duties

Provide excellent customer service

· Ensure members and visitors are welcomed into the club and provided with an efficient, professional and friendly service at all times

· Efficiently deal with ad-hoc bookings and cancellations for courts, courses, events and room hire

· Handle queries and complaints effectively and in a timely manner including email, face to face and telephone. Forwarding, escalate or signposting where appropriate and filing them as directed

· Be familiar with upcoming events, coaching courses etc

· Take prompt payment on account or other cashless payment methods for membership, purchases and activities, entering under the appropriate system codes.

· Promote membership options to potential new and existing members.

· Prompt overdue members when dealing with their orders or queries.

· Remind users of the facilities of any health and safety rules as appropriate

Maintain facilities to a high standard

· Ensure the Cleaning duties are completed as specified to maintain the premises including clearing and cleaning finished or vacated tables promptly

· Carry out checks of the changing rooms and courts according to the rota, resolving issues as appropriate

· Complete other cleaning tasks on the daily and weekly cleaning rota to the required standard, including minimum EHO standards

· Deal with spills and trip hazards promptly

· Ensure the Kitchen, bar area and seating areas are left clean and tidy with everything put away at the end of each shift including storing seating and parasols unless otherwise authorized.

· Working alongside the maintenance team ensure the indoor and outdoor tennis courts are prepared and clean ready for play each day This may include measuring and correcting nets and sweeping/brushing the courts.

· Open and close the tennis club according to the rota, ensuring this takes place in a timely manner and premises are left fully secured outside opening hours

· Record any maintenance and safety issues and report them to the appropriate person in a timely manner. Deal with urgent issues as soon as possible by following the documented procedures.

Prepare and Serve Refreshments

· Take, prepare and serve food and beverage orders as required

· Prepare and serve food and beverage as specified for pre-booked events and matches

· Ensure all regulations relating to the serving of alcohol and food hygiene and internal club procedures are met, including checking for allergies

· Ensure stock items are replenished regularly from reserves, ensure stock is kept in strict stock rotation and all stock areas are kept tidy and in good order.

· Make a note of items running low for reordering and escalate to the appropriate member of staff responsible

· Support in the training of new team members and assist new team members on bar / reception duties where necessary.

General Club Administration

· Carry out health and safety and other checks as directed and record the results

· Record any accidents whilst on duty in the accident book

· Monitor court usage and record when booked courts are not used on the appropriate log

· Ensure visitors sign in and pay the correct fees, including recording the number of visits to ensure the maximum allowed is not exceeded.

Job Types: Part-time, Permanent
Part-time hours: 20 per week
