Job title: Club Administrator
We are seeking an enthusiastic, part-time Club Administrator to help coordinate our daily administrative needs. This is an exciting and varied role, handling multiple aspects of the Helford River Sailing Club’s communications, membership and administration. The role would suit an organised and motivated individual who is able to turn their hand to any task while being the friendly face of the Club, supporting the Committee and the membership. The role requires some self-management and a ‘can-do’ attitude.

About the Helford River Sailing Club (HRSC)
Founded in 1948 and located on the south bank of the Helford River, the Club provides a welcoming atmosphere for members, visiting yachts, families and guests. Overlooking some of the best sailing waters in England with extensive shore facilities, activities and social calendar, the Club also has a strong focus on junior sailing and encouraging children to love sailing and the water. Run by an elected committee, the role of Club Administrator is a valued and integral part of the running of the Club. HRSC is an accredited RYA training centre.
Job Description
Reporting to the Vice Commodore and the Honorary Treasurer, the Main Purpose of the Job is to ensure the smooth running of all aspects of the Helford River Sailing Club, including but not limited to, fulfilling club admin, duties relating to Club membership, membership moorings, liaison with suppliers and upkeeping records.
You will need to use Club software to ensure all records are maintained.
Constant liaison will be required with our elected Committee, fellow staff members, and suppliers, including our nominated Finance Coordinator and Bookkeeper.
Duties and Responsibilities
The role is varied and covers the following the areas:
Communications
- Administrative support in all areas of the Club's communications with members
- Effective ongoing promotion of sailing programmes and events to the membership
- Support the Committee in the posting of content to the HRSC website
- Create and post social media posts on Facebook and Instagram in liaison with relevant Committee members
- Preparation and distribution of Club newsletters, yearbook and car park permits
- Liaise with advertisers and Club sponsors where required
- Assist in the preparation and publication of Committee meeting minutes
- Handle enquiries from members, prospective members and the general public
General administration
- Respond to new membership enquiries
- Collect subscriptions for new annual and holiday memberships
- Process annual payments for the Adult and Junior Sailing programmes
- Coordinate the allocation and payment of moorings, pontoon berths, dinghy and trailer parks
- Maintain and update Club records
- Organise maintenance of office equipment and supplies as required
- Liaise with Club suppliers where necessary in collaboration with the Committee and Clubhouse staff
- Support the Committee in any general administrative tasks required
Finance administration
- Liaise with our nominated Finance Coordinator & Bookkeeper on all matters of membership payments
- Support the Front of House Manager in the weekly collection and banking of coins from Club facilities
- Chase accounts due from members
Personal Specification
Essential skills:
- Previous office administration experience
- Self-motivated and able to work without direct supervision
- Excellent problem solver who pays attention to detail
- Strong, clear communication skills both over the phone and via email
- Experience working with a wider team/suppliers
- Skilled and experienced in Excel, Word, Publisher, Outlook, Access and other Microsoft Office apps and email systems
- Friendly, helpful and welcoming
Desirable skills (not essential, but you must be willing to undergo training as necessary):
- A flair for design
- Knowledge and understanding of updating content on Wordpress websites
- Confidence to update and develop social media channels
- Experience using the design software Canva
- Experience with EPOS till systems
A love and understanding of water activities would be wonderful!
