Job Description
The role of Clinic/Office Manager is a critical part of the team as it involves responsibilities that ensure the clinic is well run and organised. The role responsibilities include:
Reception/office duties:
- Managing client, course, and training enquiries via telephone, email and social media
- Assisting with the compliance of GDPR regulations by making sure all clients have completed a consultation form, and ensuring all forms are uploaded to the clinic system
- Responsible for managing prescriptions for clients where relevantEnsuring the clinic is up to date with any new legislations
- Office and facilities management, including; office cleanliness, co-ordinating subcontractors, and ensuring the smooth running of the clinic
- Managing client communication
- Stock take:Ensuring that all stock levels, including clinic and office supplies, are ordered on a weekly basis – this includes checking all orders and deliveries for correct product orders and amounts
- Ensure stocks of Amica branded products are stocked and displayed in the relevant areas
- Diary management:Responsible for managing the client, clinic and training academy calendars
- Pro-actively managing any staff absence i.e taking initiative to reschedule or redistribute clients appointments in the event of staff illness
- Responsible for ordering and preparing all course materials prior to the course commencement, including; the printing of materials and room set up
Academy course management:
- Responsible for organising training dates and models for training pupils
- Setting up all training materials and supplies prior to each course
- Finance:End of day check of all clinic payments against appointments and expected invoices
- Responsible for managing cash deposits of clinic daily revenues into the bank business account. Ensure that all payment methods are reflected in the clinic ledger and accurate accounting is provided to the clinic accountant
- Managing payments of all supplier invoices inline with clinic policies and payment terms
Experience and qualifications
We are looking for the right person, so experience is more important than qualifications. Below is a list of the relevant experience we are looking for:
- Minimum of 2 years experience managing an office/clinic within the following industries:Aesthetics
Dental or medical
Beauty or hairdressing
Health and fitness
- 2 References must be provided
- GCSE – English and Maths - B and above

Compensation
Salary range: £28k - £32k DOE
Performance related bonus
