About MyAccess Clinics
MyAccess Clinics is a UK-based private medical clinic offering specialist assessment and treatment with medical cannabis for people living with a range of pain and mental health conditions.
Due to the expansion into Germany, MyAccess Clinics is looking for a multilingual Patient Coordinator to join our dynamic team, based in Paddington Central London. Reporting to the Strategic & Operations Director, the role will act as the first point of contact for all patient and clinician queries for our German Clinic.
The Opportunity
A unique opportunity has opened for a talented multilingual Clinic Coordinator with strong language skills in German and English to join a growing international medical cannabis clinic. As a German and English-speaking Clinic Coordinator you will be dealing with all kinds of enquiries via telephone and emails. You will be using your language skills to communicate with both patients and doctors based in Germany. You will be managing the administrative side of the clinic, utilising the resources available in the most effective way, making sure that all the appointments are booked in and paid for.
In addition to providing generalist administration support, you will –
· Act as the first point of contact for all clinician and patient queries for MyAccess Clinics in Germany.
· Schedule, manage and maintain all new patient bookings in German Clinic, ensuring all documentation is accurate, available and the payment is processed prior to the consultation.
· Ensure all data is collected and processed in accordance with German GDPR requirements.
· Comply with MyAccess Clinic procedures, policies and regulations.
· Ensure all follow up booking are made in a timely and efficient manner.
· Translate written documentation from German to English and English to German, which may include medical conditions.
· Support the publishing of marketing posts on social media platforms.
· Any ad hoc duties, as required.
· The ability to travel occasionally to Germany or any other European countries, as and when required.

The successful person to join our team will be:
- Customer orientated individual with strong language skills (speaking and writing) German and English to a fluent level as you will be dealing with Diverse European Market.
- Excellent conversational and organisational skills to communicate clearly and effectively as a first point of contact for both, patients, and doctors.
- Assertive and confident Clinic Coordinator who will address challenging tasks and be able to deal professionally with difficult situations in fast paced clinical environment.
The successful person to join our team will be:
- Required to be fluent in written and spoken German and English
- Demonstrate interpersonal skills and ability to work as a part of a team and independently
- Strong and confident communication skills
- Exceptional IT skills (Outlook, MS Office, ability to learn new software)
- Problem solving attitude, helpful and friendly
- Attention to details and willingness to learn
- Diligent and conscientious
- Experience in administrative roles would be highly desirable, though not required as we will provide the robust training.
Clinical Coordinator will:
-Handle enquiries, initial complaints, patient post consultation support and other administration associated with the patient consultation process.
-Manage workload and be able to prioritise tasks to ensure their completion in a timely manner.
- Be responsible for new patients booking to ensure the patients documents are both accurate and available and the payment is executed prior to the consultation.
-Where required, contacting patients and/ or GPs and making sure all the data is held under GDPR guidance.
-Complying with our Clinic procedures and regulations and always maintaining confidentiality.
-To ensure follow-up bookings are made in a timely manner, always maintaining a mindset of efficiency in using the clinic resources.
-Travel occasionally to Germany or any other European countries where English is not a primary language.
-Require to be fluent in written and spoken German, with an understanding of Germany’s social and healthcare systems.
-Have demonstrated experience working in a customer facing role, within a small dynamic and growing team would be advantageous.
-Have strong interpersonal communication skills, with the ability to communicate with patients and clinicians in German language.
-Be conscientious with a problem-solving attitude, attention to detail and willingness to learn.
-Have the ability to work independently within a team environment.
-Have demonstrated experience with Microsoft Office Suite, including outlook.
