We are looking for an enthusiastic and proactive individual to join our growing, friendly team as Client Care Advisor. If you enjoy providing a great client experience and working as part of a team, we have just the opportunity for you.
We are a busy 4 vet practice who are supported by 4 RVN's and 1 SVN and 2 VCA's.
You will be joining our existing team of 4 Client Care Advisors. Our Client Care Advisors are part of the BVRA and there is opportunity to expand your knowledge with suitable courses to help in your role. We are a dynamic practice with surgery certificate holders amongst our vets and so we aim to offer a very high standard of care for our patients across a wide range of cases.
About you:
Your focus will be to provide an exceptional service to our clients and help give the best care possible to their pets - providing a link between clients and the clinical team. Your ability to build strong relationships with our clients, their pets and the practice team will be critical to your success.
Your great client service during a client’s visit will make sure that their absolute satisfaction is given, and that the client leaves knowing that they have received exceptional service and look forward to their next visit.
You will greet each client and offer support, guidance and expertise, managing payments and future bookings confidently. Coordinating the smooth running of the day-to-day routines of the practice will be done using our online booking system, along with other administrative tasks, so computer literacy is a must.
You are the smiling, welcoming face that greets our clients and their pets when they arrive at the practice and the voice at the end of the phone when our clients ring. You are able to provide guidance by keeping yourself fully up-to-speed with the practice services and any additional services available. You are able to remain calm in any situation, attentive and always focus on the clients’ needs.
You will bring enthusiasm and drive to your role. Your passion for providing an excellent client experience is matched with your love of pets.
You can adapt to any situation, from comforting a client who has had some bad news about their pet to sharing in the joy of a family's new addition first visit to the vet.
Along with your fellow colleagues, you create a welcoming and friendly atmosphere in the practice.
In short, you like to be busy, enjoy helping people and their pets and always endeavour to make a difference.
This role is part time, based on 25.5 hours a week. No shift is longer than 8 hours, and will vary from 8am to until close at 7.30pm, with a day off every week. You will be part of 1 in 5 Saturday rota (8.45am-6.15pm) . Bank holidays are worked as part of a shared rota.
Key responsibilities will include:
- Working closely with the clinical and non-clinical teams to deliver the best levels of patient and customer care, taking full ownership of tasks and responsibilities
- Manage and deal with bookings professionally and efficiently using RX Works
- Greet clients and their pets for appointments, being sensitive to their requirements and promoting a professional image at all times
- Comply with all policies and procedures within the surgery, including Health and Safety Regulations
- Keeping all documents filed correctly
- Following appointment booking protocols to keep things running smoothly
- Ensuring the reception area is kept organised and clean
- Cashing up each day
- Stock management
- Handling insurance claim forms
- Ensure all data is up to date and correct by the end of each day
Person Specification
You will have prior experience in a customer service role. Experience within a Veterinary practice, as a doctors receptionist, or similar setting is preferable but not essential. You will thrive in a busy environment, have excellent communication skills, be an effective team player and able to use your own initiative when required. You are friendly, down-to-earth, have a genuine interest in animal welfare and enjoy the variety provided by the clients and colleagues alike.
