The department of oral & maxillofacial surgery and orthodontics are looking to recruit a ward clerk.
This job has a key role within the Maxillo Facial Unit providing clerical, reception and administration support to the Unit
The ideal candidate will have excellent communication skills, be dynamic and motivated providing administrative and clerical support to the ward team in accordance with the departmental and trust standards.
- Provides effective verbal, written and electronic communications by receiving and passing on clear messages and seeking assistance when needed
- Acts as a point of contact for the person in charge, dealing appropriately with all communications answering the telephone and dealing with queries and tasks allocated, including sensitive issues
- Stock Control and ordering of dental materials / stationery
- Documentation associated with all digital x-rays taken in conjunction with PAS and PACS and ensure correct information is documentation for audit purposes
- Checking of all case notes prior to clinic to ensure all relevant documentation is provided and all histology and blood reports and PACS films are included
- Liaises with secretaries regarding histology results, x-rays, case notes and any other items essential to the smooth running of the clinics
- Preparation of Maxillo Facial pre-operative paperwork and checking Maxillo Facial Pre-operative Assessment patients in
- Takes minutes at audit meeting

On-Call
Please note that senior positions (AFC band 8A or above) may be expected to participate in an on-call rota, if the role is predominantly operational.
- Supporting Sister / Manager in improving standards to meet performance target
- Co-ordinating and communicating effectively with appropriate clinicians staff professional bodies and agencie
- Participates in all aspects of clinical Governance within the Trus
- Direct patients to other departments within the hospital for example – the x-ray department, pharmac
- Supports the mandatory training policy and completion of all e-learning packages appropriate to rol
- Participates in annual personal development reviews

- Supports doctors, nurses and reception staff with any queries regarding patients appointment
- Requests x-rays from General Dental Practitioners following receipt of referral letters
- Ensures case notes are taken to correct surgery during clinic and documentation of their arriva
- Checking of Orthodontic notes prior to clinic including ensuring that patient appliances are received from the laboratory and documented in the returns book to ensure correct payment is generated
- Checking of orthodontic models for discharge and ensuring correct storage of models and appropriate documentation is complete
- Documents transit of orthodontic impressions and checks details for receipt of work carried out to external laboratorie
- Tracks orthodontic models to other hospitals in preparation for surgery
- Able to access patient information through the hospital PAS system to clarify appointment
- Able to access EPR, and HIS for test result
- Photocopies any documents including all patient information leaflets, needed to support doctors and nursing staf
- Complete / maintain documentation and patient records as directed in accordance with organisational poli
- Check and authorise payment for work carried out at external laboratories
- Participates in any training appropriate to role
