POSITION SUMMARY
Under close supervision, and on a training basis, attend and record proceedings of the Court, perform a variety of courtroom-related legal clerical duties, maintain court calendars and perform other related duties as assigned.
DISTINGUISHING CHARACTERISTICS
This is the entry and trainee level class for the Courtroom Clerk series. Incumbents in this class are required to learn basic court competencies, processes and terminology, and demonstrate acceptable work habits and interpersonal behaviors. This class is distinguished from the Courtroom Clerk II position in that that the latter is expected to perform at least one major assignment within a division or work unit.
- Provide customer service that supports the courts goal of fair and equal access to justice
- Perform court-related clerical duties
- Perform computer & keyboard functions
- Prepare, type and/or generate a variety of simple court-related legal forms, documents, notices, letters, orders, and abstracts, as well as other correspondence related to legal filing and legal processes
- Verify, enter, retrieve, and update electronic information and data
- Record case information electronically
- Examine legal documents for completeness, signature, and conformance with legal requirements. File legal documents and ensure the appropriate electronic record is updated following the established policy, procedure and/or desk reference
- Accept, review, return, endorse, certify and/or file documents, calendar requests and records-related information; appropriately update the electronic case record following the established policy, procedure and/or desk reference
- Maintain electronic records and/or files
- Maintain court and ex parte calendar
- Coordinate jury logistics
- Attend court and take accurate minutes of court actions and proceedings
- Record and store exhibits introduced as evidence
- Administer oaths
- In accordance with established policy, inform legal professionals, paraprofessionals, and the general public on the use of proper procedures and forms for filing
- Answer questions and correspondence related to court procedure, disposition of cases and the court calendar
- Determine notice requirements, including the type of notice and the parties of notice in various court filings, and prepare, dispatch and post notices
- Certify documents
- Prepare correspondence related to legal filing and legal processes
- Operate recording devices in the courtroom
- Initiate and manage remote proceedings
- Type a variety of materials relating to legal documents and other correspondence
Some positions may require the performance of other duties depending upon work location, assignment, or shift.
Any combination of education and experience that could likely provide the required knowledge, skills and abilities is qualifying.
Education: High school graduate or equivalent
Experience: Three (3) years experience working for a court (preferred). Other legal/court related professional/administrative experience may be considered.
Substitution: Two (2) or more years of related education may be substituted for one (1) year of the required experience.
Typing: Type at a minimum speed of thirty-five (35) words per minute.
Driver’s License: Possession of a valid California driver’s license may be required for some positions.

- State statutes and local ordinances as they relate to legal processes in the courts and in criminal justice agencies

The employee is frequently required to sit, stand, and move from place to place within the office. The employee is occasionally required to lift and/or move objects weighing up to twenty-five (25) pounds and reach for items above and below desk level. Lifting of objects weighing in excess of twenty-five (25) pounds will require team lifting. The noise and traffic level in the work environment are similar to a busy business office.
Normal business hours: 8:00 a.m. to 5:00 p.m., Monday through Friday. Over-time may occur occasionally.
