Job Purpose
Responsible for keeping all as built and statutory maintenance record information of the University Estate.
Preparing and updating documents including undertaking surveys and preparing drawings. building information models and data sheets.
To manage data transfers and updates from University records, building Information models and other record information between relevant stakeholders including the University, design teams, contractors, and other stakeholders as part of the Soft landings process.
Main Duties and Responsibilities
1. Prepare schematic infrastructure plans, dimensional drawings, installation drawings and more complex drawings (plant engineering) as required in the absence of any as built information.
2. Plan, organise and carry out a range of defined site measurements/CAD drawing work and other technical procedures (e.g. upload data into estates integrated works management system), using specialist equipment and techniques.
3. Revise and update existing drawings and asset records reflecting changes and completed work. Ensure records are available for relevant Facilities Services staff, maintenance contractors and other stakeholders.
4. In conjunction with others, define and maintain the University’s Employers Information requirements. Provide guidance and coaching to Facilities Services colleagues, consultants and contractors and ensure the correct use, update and version control of record drawings, asset information etc.
5. Manage the effective transfer of data and record updates as part of the Soft Landings process and project handovers. Receive and validate drawings, records and data sets from Building Information models and other data sources into University managed systems.
6. Establish and maintain filing guidelines for health and safety files, drawings, M&E records, test certificates, compliance records and other statutory documents.
7. Make accurate and effective use of computerised and manual record keeping systems, compile information and create reports to assist in decision making across all Facilities Services teams.
8. Attend and contribute to relevant team meetings when requested by manager in support of work activities. Provide input to business improvements to support a culture of continuous improvement.
9. Carry out other duties as required from time to time within the broad remit of the role and grade.
Knowledge, Qualifications, Skills and Experience
Knowledge /Qualifications
Essential:
A1 Ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills in a similar role. Or: Scottish Credit and Qualification Framework level 7 (Higher / Scottish Vocational Qualification level 3, Higher National Certificate in Architectural Technology or Building Studies), City and Guilds in Computer Aided Design or equivalent, and experience of personal development in a similar role.
A2 Basic understanding of building construction and building services.
A3 High levels of numeracy and literacy (Math and English Highers or equivalent as a minimum).
A4 Ability to demonstrate a good understanding of electronic data transfers and validation.
Desirable:
B1 Knowledge of Uniclass 2015, unified construction coding system.
B2 Basic knowledge of statutory record requirements for a complex estate.
Skills
Essential:
C1 High level of competence in the operation of AutoCAD.
C2 High level of computer literacy including the ability to use AUOTCAD, Microsoft related products for word-processing and spread sheets.
C3 Self-motivated and be able to work with minimal supervision.
C4 Ability to contribute to team efficiency through sharing information and constructively supporting others.
C5 Ability to independently solve a range of problems by responding to varying circumstances, whilst working within standard procedures.
C6 Ability to effectively organise allocated work activities and assist in the effective organisation of non-standard tasks and events.
Desirable:
D1 Ability to adapt well to change and service improvements.
Experience
Essential:
E1 Previous work experience within a property or construction related organisation.
E2 Experience of operating CAD equipment and ability to carry out specialist CAD drawing and site measurement.
E3 Previous experience of the following computer software packages:
- AutoCAD 2020
- Revit
- Microsoft Excel
- Microsoft Word
E4 Experience of data input and analysing data and presenting summary information in a clear and concise format.
E5 Experience of providing training/coaching to colleagues and students in relation to technical tasks.
Desirable:
F1 Experience of managing data transfers from Building Information models.
F2 Experience of a facilities management database for recording and updating building and space records.
Terms and Conditions
Salary will be Grade 5, £24,715 - £28,929 per annum.
This post is full time (35 hours p/w) and open-ended.
