The Business Development team sits within the Cambridge Site Operations function in Biopharm R&D, AstraZeneca. Our focus is to enable smooth site operations across the UK through strategic workstreams, innovative data processes, continuity planning, business critical finance management and administrative support.
We require a new Business Support Co-ordinator to join our existing Business Support team. As we continue to consolidate our footprint in Cambridge, this role will be responsible for the delivery of a range of administrative, operational, financial and project-oriented activities to support the function. First point of contact for collaborators. The successful candidate must be organised and efficient, with a flexible approach and ability to multi-task.
What you’ll do
Provide professional and efficient administration and project support to Site Operations and selected Leadership Teams within the function
Support and coordinate various internal meetings including assisting with coordination of agendas, minutes, action tracking, attendance, venues and catering
Update and maintain Site Operations records and documents in a proactive and timely manner
Lead travel and expense arrangements for Site Operations employees and contractors, including making bookings for flights, taxis and hotels, and processing expenses in a compliant and timely manner in line with AZ Policy
Assist with creating engaging and insightful content for the function e.g. presentations, newsletters and ‘Facebook for Workplace’ posts
Support and coordinate new starter onboarding and recruitment activities in Site Operations
Support and coordinate Site Operations engagement including townhalls meetings, team building, learning and development sessions and off site meetings and events
Ad-hoc project and event support for various workstreams in Site Operations e.g. IT systems, company events, improvement projects etc
Where appropriate, take ownership and lead on the above activities, proactively suggesting and driving process improvements where you see opportunities to do so
Finance
Develop expertise in our finance systems (Coupa, SAP) and provide general assistance and guidance to the function
Proactively co-manage the Site Operations Finance Mailbox, ensuring that queries and requests are picked up in a timely manner
Raise purchase orders and handle invoices, including status tracking, payment reconciliation, keeping trackers updated and collaborating closely with vendors and customers
Where more complex finance queries may arise, demonstrate excellent problem solving skills and approach the task with an improvement mentality;
Support year-end management of finance and site cost reconciliations including professional communication with vendors
Produce various reports that meet quality standards, providing interpretation of data where needed
Essential Criteria
Previous administration experience (ideally in an Operations environment)
Experience of working with finance systems, raising purchase orders and handling invoices
Ability to multi-task and prioritise effectively
A flexible and adaptable approach, with an ability to meet changing business demands
Excellent collaborator management (internal and external)
Highly organised with excellent attention to detail
Experience maintaining soft and hard copy documentation
Experience working with cloud storage including Box, OneDrive and SharePoint
Proficiency in the Microsoft Office suite, especially Outlook, Teams, PowerPoint, Word and Excel
Desirable Criteria
Genuine interest and passion for exploring and using new technology and software to streamline and improve existing processes.
Confident to challenge current ways of working where appropriate.
