Job description
We now have an exciting opportunity for a Business Support Administrator to join the team at our Bristol site. As a Business Support Administrator you will be responsible for the timely administration of all documentation associated with the contracts. This will include both paper and electronic administration systems.
What you will be doing
Manage all aspects of site documentation including (but not limited to) Health and Safety Documentation, Permits to Work, Technical Documentation, Maintenance Documentation, Installation Documentation, Financial Information and Personnel Clearance information.
Implementation and Monitoring of rigorous site Document Control Policies and highlighting areas of non-compliance.
Ensuring both paper and electronic based administration systems are kept up to date in line with agreed KPI’s.
Assist with the co-ordination of the daily / weekly / monthly routine work schedules.
Working closely with the Engineering and Health and Safety leads to ensure all necessary documentation such as Permits to Work, Risk Assessments and Method Statements are in place to allow the work to proceed on site in a timely manner.
To proactively interact with both the Customer’s and other Contractors site based administration teams, building a good rapport, ensuring the smooth flow of information to enable the efficient running of the site operation.
Liaison with External Suppliers and Contractors working on behalf of G4S, ensuring work instructions, purchase orders and site clearances are received and acted upon in a timely manner.
Assist Operations Director in the gathering of information as and when required.
Assist in the production of daily, weekly and monthly reporting packs.
This opportunity will include travel between the Bristol & Tewkesbury Office
What we are looking for
Experience of working within the High Security Industry ideally site based
Knowledge of Microsoft Project -
Experience with Online Documentation Systems
Good working knowledge of Microsoft Office suite, specifically Word, Excel and Powerpoint. -
Experience with Online Documentation Systems
Experience of working in a highly regulated environment
Fluent in written and spoken English with good communication skills
Strong numerical and analytical skills with high attention to detail
