Help a growing team create more progress in the world. We are looking for a proactive problem solver to join the team as the Business Operations & Support Coordinator in London. In this role, you will support the London leadership team and the Global Business Operations team to ensure we track, understand and improve our business health and team capacity to better service the work we do - creating impact for real people.
Responsibilities span a wide range of activities across the business - from tracking team resourcing data, ensuring revenue and timesheet data is entered accurately in a timely fashion, to helping to coordinate new candidate interview scheduling and contractor assignments. On top of this, you will be a vital support for the leadership team and Executive Director, helping to coordinate internal projects as assigned.

The Team
Business Operations is the bridge between Account/Project Management, Creative, and Finance teams at Blue State; working closely with each at various levels across five offices. The Business Operations team is responsible for resource management, revenue management, and talent acquisition. The individuals on this team bring together the data, the people and an understanding of the work to help senior leadership see the big picture and make well-informed business decisions. The key areas of focus for the Business Operations team is to get ahead, optimise and adapt to any new situations that may arise.
A day in the life
- Resourcing data management and facilitation: work with local Account Leads and senior leadership to ensure all resourcing forecast data is current and accurate and aligns with expected revenue.
- Weekly pipeline and revenue management: maintain revenue forecast document per communication with London leadership
- Work with Account Leads and Executive Directors to update project opportunities in Salesforce
- Provide reports to support London and Global Operations teams - including monthly and ad-hoc reporting requests.
- Support monthly financial close process in partnership with Account Leads, Executive Directors and Finance team to close the month timely and accurately
- Coordinate approvals and advertisements for contractors
- Support London Executive Director and wider office with data for business planning, administrative tasks such as purchasing and financial reconciliation, meeting scheduling, and internal projects.

We approach in-office working with a hybrid model, with presence in our office required at two days per week. To enter our London office or attend Blue State events, staff is required to submit a self-administered lateral flow test prior to attending.
Some things we're looking for
- 1 - 2 years of experience in business operations, project management or executive support
- Proficient in Excel and/or Google sheets
- Ability to adapt to new situations, solve problems on the fly, and communicate with those around you. Teamwork and scrappiness are required.
- Organisational skills and a good sense of time management is a must
- Comfortable with interacting with colleagues at all levels in a professional manner
- Ability to follow direction with fine attention to detail, asking questions when needed
- A commitment to accurate and clean data
- Empathy, communication, respect, and the ability to act as a role model at Blue State
