About the role
Provide a high level and professional support service to an allocated member of the UK & Ireland Leadership Team and their team members.
Responsibilities:
Providing direct assistance to the Function Leads to enable them to be highly effective
Managing access to the Function Lead and their schedule, ensuring time is used and effectively and efficiently.
Supporting the businesses with various AP queries by directing them to the correct contact in the WSSC.
Supporting local finance with Online Payment Requests (OPR) and Miscellaneous Payment Requests (MPR) such as for quarterly tax payments and other urgent payments.
Where there are issues with vendor setup, to liaise with the procurement team and help with resolving roadblocks.
Handling confidential business matters and ensure compliance with confidentiality policies and procedure.
Acting as the first point of contact and liaison for both internal and external stakeholders, suppliers, clients, policy makers, and key decision makers.
Organising internal and external meetings, preparing/sending out agendas, coordinating logistics, compiling and distributing required documents and presentations.
Preparing and sending out minutes and follow-up actions
Assisting in the preparation and generation of reports, presentations and data
On-boarding of new associates.
Supporting and promoting BD values and company culture with a positive and flexible manner.
Promoting and ensuring adherence to BD policies throughout all levels of the company.
Providing information to others through various communication channels regarding business matters, processes and/or procedures.
Improving efficiency and controls costs within both the EST and throughout the company.
Using experience and knowledge of how the team integrates with others to think beyond the way it has always been done and identifying opportunities for improvement.
Taking ownership of simpler customer and supplier issues. Working with customers and suppliers to resolve issues to their satisfaction.
About you:
Previous experience in a similar role at a senior level.
GCSE in English and Maths.
Good working knowledge of MS Excel.
Continued self-development approach to encourage others to do the same.
Promoting teamwork by acknowledging the value of cultural differences and coaching others to consider these differences when communicating or making decisions.
Ability to work under pressure and to deadlines with minimal supervision.
High personal accountability & integrity.
Ability to set own work direction and complete tasks.

High standard of work with excellent attention to detail and ability to handle changing priorities.
Excellent verbal and written communication skills with the ability to communicate well at all levels.

Further education and/or a University degree a plus
Some travel may be required from time to time.
