The business development team encompasses Sales & Events and Memberships support in addition to support for the wider facility use by internal stakeholders that include university colleagues and our student sports clubs.

We are looking to recruit a Business Development Assistant and this broad role will challenge motivated applicants, with the opportunity to become more involved in either Sales and Events or the Memberships side of the business and experience in either is desirable but not essential for anyone with a strong background in business support.

You will be responsible for establishing and maintaining exceptional working relationships with Warwick Sport’s internal and external client base, supporting and contributing to Warwick Sport’s income generating activities.

There is a high volume of customer communication with an expectation that the successful candidate would provide strong customer service and would be part of our continuous improvement process within the team.

The University has invested in excess of £45 million in new sport facilities to include a Sport and Wellness Hub which opened in April 2019. The Warwick Sport mission is: Building the most active Campus Community in the UK. We have recognised a shift in our focus from the physical ‘building’ of sports facilities towards the building of a member offer, of activities, communities, and programmes to ensure our world class facilities and wider campus are used to see more people active every day. It is the role of the reception team to help provide a customer experience that keeps people coming back again and again.

It will be necessary, on occasions, for the post holder to work outside normal office hours including some work in the evenings and at weekends.

Job Description

JOB PURPOSE

Be responsible to establish and maintain exceptional working relationships with Warwick Sport’s internal and external client base, supporting and contributing to Warwick Sport’s income generating activities.

To ensure through skilled planning, organisation, and administration that objectives of the Business Development team are met to support the Warwick Sport business.

To maintain and enhance the reputation of the University of Warwick as a premier sports venue for multiple users.

DUTIES AND RESPONSIBILITIES

1. Bookings and Event Management.

  • To manage the scheduling of both present and future events and client portfolios on a daily basis enabling accurate and timely information to be available for internal and external providers that come directly to Warwick Sport to book facilities and events.

  • To manage and co-ordinate all communications with client and suppliers (internal and external) for bookings and events, ensuring continuity for the client and total confidence in their management for the event.

  • To deal with all relevant correspondence regarding booking and event requirements and arrange all necessary Warwick Sport paperwork to be completed including producing sales quotes, collating booking forms, hire agreements, terms and conditions, financial details, and VAT exemption forms where appropriate.

  • To work with colleagues across the department to oversee timetabling, programming, and bookings for all Warwick Sport user groups across all sites.

  • To liaise with departments across the University where relevant, including Warwick Conferences, Estates, Car Parking, Food & Drink, and others, as well as the Warwick Sport team on all bookings and events, and potential impact on the facilities and the wider business.

  • Provide professional and administrative support from initial client facility show-rounds through to event evaluation and feedback where appropriate.



2. Customer Service

  • To form a close professional working relationship with all Warwick Sport clients to provide a friendly and helpful service and establish and maintain relationships to promote repeat business.

  • To arrange and attend client meetings where appropriate to develop an understanding of the client’s requirements and expectations.

  • Maintain accurate client records in accordance with university procedures and GDPR.

  • To enhance the reputation and business profile of Warwick Sport as one of the leading sporting venues by representing the University at functions, exhibitions, and events where appropriate.



3. Financial

  • To oversee all client invoicing for bookings and events, working with the finance team to ensure all costs are recharged accurately and invoices are issued in a consistent and timely manner to clients.

  • To produce accurate sales quotes for bookings and events based on the client’s requirements and ensure these are sent to clients in a timely manner in accordance with Warwick Sport’s internal targets.

  • To oversee financial regulations linked to bookings and events, including VAT and VAT exemption, and ensure University Financial Regulations are followed at all times.

  • To work with the Business Development Team to maximise income generation for the business.



4. Systems & Processes

  • To oversee, input, and update all bookings and events through the sales team on Warwick Sport’s leisure management system.

  • To give direction and support to Duty Managers and Sports Operations staff to ensure smooth transition between, booking, event management, and service delivery.

  • To work with the Business Development team to ensure continuous improvement in system and procedures by constantly assessing and creating new routines of work, which result in the highest quality of service delivery.
