The role
We have an exciting, highly challenging, and interesting role for an experienced Business Assistant – Talent CoE supporting project Co-ordination and day to day operations for our team.
The successful candidate will be an excellent team player with critical thinking and problem-solving capabilities. Adept with PO management and budget tracking, you will understand the complexities involving managing multiple stakeholders and all organisational tasks.
Key Accountabilities
CoE Team Co-ordination
- Dealing with confidential matters with a very high level of professionalism, discretion, and confidentiality
- Ability to handle requests and enquiries autonomously with little direction.
- Able to quickly align multiple requests and offer recommendations to manage this effectively.
- Supporting the CoE director and their team with projects and activities as required.
- Good planning and organisational skills with strong attention to detail
- Managing and anticipating complex requests ensuring appropriate deadlines are met and prioritised.
Finance/Budget:
- Responsible for processing invoices, expenses, and ad hoc payment requests.
- Ordering all POs upon request from the team and advising requestor of the PO number once approved so they can communicate it to a supplier.
- Maintenance of a PO tracker to include spending amounts and details.
- Goods receipt invoicing.
- Monthly budget calls with CoE Leader and direct reports to update projected/upcoming spending.
- Manual payments
- Year-end closure: reconciliation and review process to close unused or open POs.
Skills and Experience
- Experience supporting teams in a Corporate, fast-moving, and complex matrix environment.
- A background working for a Global or Multi National business.
- Tact, judgment, and discretion in handling internal and external contacts.
- Excellent diary management.
- Good sense of business acumen to communicate effectively with senior management.
- Good planning and organisational skills, with strong attention to detail
- Advanced knowledge of Outlook, Word, Excel, and PowerPoint
- Fluent spoken and written English, additional languages an advantage
- A strong communicator
- A self-starter with a very flexible approach
